Vice President, Corporate Experience Operations Manager: Travel and Third-Party Oversight

Job Description
  • Administer the BNYM corporate aircraft program which includes, but not limited to:
    • Serving as key point of contact for Executive Assistants and the vendor.
    • 24/7 availability to ensure that urgent matters are handled immediately.
    • Validate requests for corporate aircraft use, including domestic and international travel itineraries.
    • Work closely with vendor to ensure seamless communications and exchange of aviation specific data.
    • Run and analyze reporting on usage and spend.
  • Support all aspects of managed travel services, including but not limited to Commercial Airline, Hotel, Ground Transportation and the Travel Management Company.
  • Coordinate Executive and VIP Services throughout GCED pillars including, but not limited to:
    • Ground transportation for executives
    • AmEx GBT VIP travel agents
    • Executive dining
  • Assist with GCED end-to-end vendor management and third-party governance processes by
  • Support RFQ, RFI and RFP efforts to drive profitability and improve internal client experience.
  • Manage vendor onboarding, contracting, monitoring, purchase order set-up, and termination.
  • Drive GCED vendor performance, compliance with contracts, management of Key Performance Indicator Metrics and Service Level Agreements, and service model enhancement.
  • Support GCED risk and control processes. Identify and address known risks and emerging issues, and escalate as appropriate.
  • Support travel team to complete time-sensitive projects and larger internal and client facing deliverables.
  • Assist travel team to deliver high quality, cost-efficient and internal client-focused services with the consistent objective to embed continuous improvements.
  • Track and coordinate issues and concerns that impact our key stakeholders. Liaise with vendors, service providers, internal clients, and regional GCED Leads to ensure all issues and events which adversely impact our operations are mitigated and resolved. Serve as escalation point for internal clients and GCED Leads.

Qualifications

  • Bachelor s Degree or the equivalent combination of education and experience is required.
  • 10-12 years of relevant corporate travel and vendor management work experience preferred
  • Salaried position requiring fluid hours that are in alignment with the corporate aircraft schedule:
    • On call/beeper for corporate aircraft scheduling and changes that come in after hours
    • Primary liaison with pilots and crew
    • No overtime provided
  • Superior knowledge of multiple functions and principles across the corporate travel industry
  • Proven ability to plan and manage operational process for maximum efficiency and productivity
  • Strong project management skills.
  • Strong organizational skills and attention to detail.
  • Full working knowledge of Microsoft Word, Excel, PowerPoint, Smartsheets.
  • Must be service oriented with exceptional interpersonal skills in order to communicate with all levels of company personnel and suppliers.
  • Outstanding people skills and ability to work effectively in a global team environment.
  • Able to work independently, manage multiple work streams, and have an eye for detail.
  • Must possess strong analytical, financial, oral and written communication skills.
  • Proven ability to develop innovative solutions for increased productivity
  • Masterful organizational, communication, and leadership skills, demonstrated by professional success.
  • Strong working knowledge of data analysis.
  • Collaborative, flexible approach to problem solving. 
  • Broad skill set including strong understanding of vendor management/negotiations, leadership development, analytical horsepower, excellent business judgment, curiosity about how things work, and passion to create world class programs for internal clients.
