Duties:

SupervisoryTelephoneOperatorperformsundergeneraldirectionfromtheInformationProgramsOfficer,supervisestheU.S.Embassy’stelephoneswitchboardoperations.ThesupervisorytelephoneoperatorsupervisesoneAssistantSwitchboardSupervisor/Operatorandninetelephoneswitchboardoperators.Thesupervisorytelephoneoperatormanagestheofficeandexercisesgoodjudgementincomplexsituations.Thesupervisorytelephoneoperatoralsocarriesoutadministrativesupportandofficedutiesfortheswitchboardofficetoinclude,butnotlimitedtoclerical,scheduling,logistical,budget,translation,andresearchsupport.Dutiesinvolvedareofaveragedifficultywithacentralfunctionofprovidingguidanceandtrainingprogramsforswitchboardoperators/receptionistsfortheU.S.MissioninChina,toincludeEmbassyBeijingandthefiveconsulatesinGuangzhou,Shanghai,Chengdu,Shenyang,andWuhan.Theswitchboardsupervisorprovidesadviceandassistancetooperators24/7regardinganytypeofemergencysituation.

QualificationsandEvaluations

Education:Completionoftwoyearsofcollegeisrequired.

Requirements:

EXPERIENCE:Minimum2yearsofexperienceintelephoneswitchboardoperationforalargeorganizationisrequired.Andminimumofoneyearpriorsupervisoryexperienceisrequired.

JOBKNOWLEDGE:Musthavethoroughknowledgeoftelephoneswitchboardoperations.Thoroughknowledgeofsupervisionpolicyandprocedures.Balancingafluctuatingworkschedulebetweenallemployeestoincludesick,vacation,andanyothercircumstancesthatcoulddisrupttheworkschedulewhilestillremainingcosteffectiveduringthesecircumstances.Knowledgeoflocallaborlawstopreventviolationorlossofanemployee.

LANGUAGE:LevelIII(Goodworkingknowledge)reading/speaking/writinginEnglishisrequired.(Thiswillbetested.)

LevelIII(Goodworkingknowledge)reading/writing/speakinginChineseisrequired.

SKILLSANDABILITIES:Mustbeabletooperateatelephoneswitchboardoperatorconsole.Mustbeflexibleandabletoworkunderpressure.MustbeproficientwithMSOfficeincludingMicrosoftWord,ExcelandOutlookarerequired.Requiresanabilitytosuperviseeffectively.Musthavewelldevelopedinterpersonalskills,possessionofgoodjudgment.Abilitytocooperatewithotherdepartments,andfollowadministrativeprocedures.MusthavetheabilitytotranslatedocumentsfromEnglishtoMandarinandviceversaandbeabletotranslatecallswithnativeChinesespeakersforIPCAmericanofficers.Mustbeabletomanagelargeprojectsandmentoruptotenemployeesinworkdutiesandcareerdevelopment.
