The Senior Executive Assistant provides support to a group of 7 senior attorneys by handling and arranging telephone calls, conference calls and video conferences, correspondence, managing calendars and appointments with senior management, making travel arrangements, preparing auditable expense reports, processing invoice payments, creating and preparing presentations, and providing other administrative tasks.

Responsibilities:

  • Directly support three C16 level managers and generally support the LATAM Legal Department, including by performing the duties described above
  • Manage day to day calendar of senior attorneys
  • Coordinate all aspects of executive level manager appointments, meetings, receptions and conference calls
  • Prepare and review materials and correspondence for meetings
  • Assist with creation/modification of presentations, spreadsheets, and other various documents
  • Coordinate travel arrangements; prepare and distribute schedules/agendas for travel
  • Prepare, reconcile, and track expense reports through Corporate Travel and Expense system, ensuring compliance with Citi Expense Management Policy
  • Prepare, reconcile and track invoices from law firms across the US and Latin America to ensure timely submission and payment
  • Order supplies and process invoices through Procure to Pay system
  • Process and follow-up on Virtual Requests
  • Assist in ad-hoc special projects as needed
  • Train, coaches or guides other administrative staff when required
  • Provide back-up support to Senior Executive Assistant to the General Counsel when required
  • Appropriately assess risk when business decisions are made, demonstrating particular consideration for the firm's reputation and safeguarding Citigroup, its clients and assets, by driving compliance with applicable laws, rules and regulations, adhering to Policy, applying sound ethical judgment regarding personal behavior, conduct and business practices, and escalating, managing and reporting control issues with transparency.

Qualifications:

  • Previous office administration experience preferably within a large and complex financial services or similar organization
  • Highly proficient in Microsoft Office
  • Consistently demonstrates clear and concise written and verbal communication skills
  • Fluent in Spanish and English, both written and verbally
  • Demonstrated ability to quickly gain command of new systems
  • Self-motivated and proactively anticipates senior managers' needs
  • Ability to multitask and prioritize
  • Very high level of attention to detail on all tasks
  • Flexibility to adjust schedule as needed

Education:

  • Bachelor/University degree preferred or significant equivalent experience
