Job Description
YOUR TASKS AND RESPONSIBILITIES
The primary responsibilities of this role, Senior Administrative Assistant, are to:
- Assemble and analyze information;
- Prepare reports, manuals, agendas, correspondence and memorandum as guided by General Company Practice;
- Establish and maintain departmental databases and develop spreadsheets of importance to department;
- Assist in meeting planning and preparation work needed, i.e., drafting agendas and broader communications, coordinate details of departmental meetings and/or on and off site conferences and events;
- Prepare materials in final form from very rough and involved drafts which may utilize frequent use of technical terminology and which combines materials from several sources;
- Manage business travel arrangements screens/ redirect calls, take messages, handle mail;
- Coordinate activities across departments and follow up to ensure that requests are carried out;
- Process expense reports and payment of invoices;
- Interface with other assistants to share and coordinate workload;
- Cross train lower level assistants in the departments;
- Perform additional accountabilities as required;
- Perform all administrative functions needed for onboarding and off-boarding of new hires including contractors;
- Assess hardware (e.g. CLS), software and network access (e.g. SARS);
- Procure hardware, arrange software and network access, for current staff members, new hires and terminations;
- Provide administrative support as needed for compliance related activities (e.g. support of internal/external audits, support of health authority inspections, prepares training binders, scheduling training sessions);
- Monitor costs while performing all applicable administrative tasks (e.g. Ordering office supplies, travel arrangements, catering) and verifies appropriateness of charged costs (e.g. monthly phone lists).

Required Qualifications:
- High school diploma with a minimum of four years of relevant experience; or Associate’s degree with two years of experience;
- Proficiency in PC applications such as Word, Excel and PowerPoint;
- Ability to manage multiple competing priorities;
- Have strong interpersonal skills;
- Highly organized;
- Be able to work with employees at all levels of the organization;
- Proactive behavior and ability to keep timelines;
- Ability to identify problems and to contact the appropriate person to find a solution in cooperation with other internal or external functions.
