Job Description

Purpose & Overall Relevance for the Organization:


To provide efficient and effective administration support to VP

Key Responsibilities:


Planning


  • Support in planning and management of workload for VP

  • Planning of smaller projects and tracking progress


    Management


  • Provide general administrative support to VP, including Calendar Management, task management and follow up, filing of expense claims, meeting coordination, reception of visitors, receive and screen phone calls, translation etc

  • Provide general administrative support to other APAC team members limited to only related team tasks/activities

  • Create/Develop presentations for VP based off content and framework provided

  • Keep track of travel and holiday plans of key members of the department via “Team Leave & Travel Calendar”

  • Document meetings (take minutes) and track progress of follow ups/action points post meetings

  • Filing and retrieval of key team documents online and offline via shared platforms

  • Coordinate, integrate and follow up for internal meetings, reports and presentations

  • Coordinate key APAC related team meetings and workshops

  • Various ad hoc tasks and projects as and when required


Financial


  • Closely work with Finance to ensure that the team is tracking OPEX properly by developing an internal system for T&E tracking on a monthly basis.

  • Ensure that the team is following internal processes for T&E by forecasting and managing the T&E according to budget allocated

  • To monitor the Actual vs. forecast and reallocate the required T&E budgets in alignment with VP

  • Assist in development of systems and processes

  • Design and operate simple Excel and Access tools/reports

Requisite Education and Experience / Minimum Qualifications:

  • Minimum of 3 to 5 years experience in a multinational company

  • University degree or above

  • English fluency and Mandarin fluency

  • High level knowledge and skills in Microsoft products, especially Powerpoint
