MAIN PURPOSE

Performs reception support and general administrative duties to keep office daily operation smoothly.

Operate telephone answer inquiries and provide information, forward calls with professional manner. To be an ambassador for the company.


KEY RESULT AREAS AND MAIN RESPONSIBILITIES


Key responsibility 1

Reception area:


? Operate switchboard properly, ensure transfer phone call to right person.


? Friendly gesture for visitor receiving and registration.


? Know each meeting room condition, maximize reasonable arrangement.


? Update telephone list on monthly base.


? Be punctual to attend reception duties.


Key responsibility 2

Post service:


? Register and distribute all incoming courier document/parcels.


? Send out Outgoing Mail/Parcel.


? Monthly expense settlement.


Key responsibility 3

Repair and maintenance office equipment:


? Ensure copy machine, fax machine and water dispenser in normal working condition.


? Keep repairing efficiently.


? Guarantee maintenance & repairing quality.


? Solve simple problems in copy machine such as paper jam, etc.


Key responsibility 4

Order:


? Staff stationery order and monthly expense settlement.


? Business card printing for all staff and monthly expense settlement.


? Business chop making.


? Annual newspaper & magazine order.


Key responsibility 5

Miscellaneous Works:


? New comer on board setting, including seating, telephone, access badge (if have)


? Assist company activities arrangements.


? Ad hoc tasks / relevant responsibilities as assigned by the management.



JOB PROFILE



Education


Colleague degree / equivalent degree from a reputable university


Experience


At least 2 years relevant experiences in MNCs


Skills required


Oral and written English and Mandarin is a must

Strong communications skills

Good command of MS Office software
