Job Description
Job Title: Project Coordinator, Linkong Project
Department: Project Development
Direct Report to: Deputy Project Manager - Commerical, Linkong Project
Overall Aim of the Job (Mission):
  • Assist the PM/DPM in the preparation/ monitoring of all the documents requested by the IKEA Centres China project process
  • Communicate the project information within the company
  • Organize and monitor the mandatory documents on the server/ e-system
  • Develop and implement the internal process and policy training for the project team
Location: position based in Shanghai

IKEA Centres China aims to develop in Shanghai a mixed-use project including:
  • 150 000+m² GLA Shopping centre incl IKEA Store as an anchor
  • 70 000+m² GBA mixed used component

LEADERSHIP RESPONSIBILITIES

A. Coordinate and control Internal documents
1. Organize and monitor the project documents on the internal server
2. Organize and monitor the mandatory project documents needed to be shared with the third party with the e-system
3. Organize and assist the PM/DPM to follow up the internal project meetings
4. Take accurate MOM when necessary
B. Assist Project Manager to prepare all required meetings including :
1. Support the PM/DPM in preparing and monitoring the Project Steering Agenda
2. Support the PM/DPM in preparing and monitoring all the mandatory documents requested by the Project Steering Agenda and all other documents required by ICC project progress
3. Support PM in preparing and monitoring data for IRC and develop a good understanding of the budget
C. Enhance the Project / mandatory templates internal communication
1. Spread the knowledge in the team through training session
2. Monitor and distribute to the internal / external team the internal mandatory documents
3. Spread the project updated information within the organization

D. Benchmark with other projects and monitor the shopping centre in the future
1. Benchmark key figures with other ongoing projects in the company
2. Collect the latest info on the shopping center and summarize on the trend of customer behavior, architecture, design and landscape.
E. Procurement of small services when necessary

SKILLS - PREFERRED PROFESSIONAL EXPERIENCES

>3 years’ experience of assisting within development/construction projects for shopping centre/retail industry/ offices.
A very solid common sense and an easy communicator, values oriented, willing to share and involve stakeholders and not play a one man show.

? Upright personality, integrity and uphold highest standard of professional ethics
? Dynamic, proactive, willing to learn and to work in a challenging environment
? Fluent in English and proficient in computer
? Detail-oriented and good coordinator
? Good communicator, comfortable to speak in public
