Job Description
Job Responsibilities:
Assist on preparation of documents for internal process and approval, such as cash flow, expense reports, QA forms, etc.
Assist on billing and collecting estimates and process;
Assist project managers on project invoice and payment process;
Assist on project meeting and travel arrangement, such as scheduling, organizing and distributing agenda, booking hotels and flights;
Assist on preparation and translation of business development and marketing documents;
Collect and update staffs CVs;
Update team contact list and staffs leave information;
Assist with team new hires onboard;
Help organize team activities such as workshops and group meetings;
Coordinate with other teams on daily administrative issues;
Assist on maintaining project material and filing system, such as documents required for project delivery ISO compliance;
Other tasks assigned by people manager
Job Requirements:
Bachelor degree in English, administrative management, or relevant field; degree in Civil and Environmental Engineering is a plus;
Fluent in both oral and written English and mandarin Chinese; free communication with native English speaking staff;
4+ years of prior experience as an administrative assistant, executive assistant, translator or relevant experience;
Strong computer skills of Microsoft Office Suite;
Ability to multi-task and detail oriented, patient and responsible;
Ability to work independently and on multi-disciplinary teams.
