PM Dispatch Coordinator

Location/Division Specific Information

Milwaukee, WI- Remote
Monday-Friday, with working hours between 7:00 AM-5:00 PM
 
How will you make an impact?


To ensure customer’s planned maintenance events are dispatched 45-60 days in advance of the scheduled start date. This process starts with running of the system generated program and ends with validation of completed PMs. Planned maintenance includes preventative maintenance, qualifications, calibrations, certifications, validations, & decontaminations.
 
What will you do?

  • Review and understand all departmental Functional Procedures and work instructions.
  • Run monthly preventative maintenance (PM) program; analyze results to ensure records are accurate.
  • Dispatch PMs to vendors and follow up on service completion.
  • Process on-line incoming service requests onsite/depot/dispatch through notifications.
  • Internal and external customer problem resolution. Interface with other departments to ensure resolution.
  • Contact vendors and resolve service or billing issues.
  • Proactively work with vendors to improve the service dispatch and billing processes.
  • Ensure applicable documentation is received and recorded.
  • Ensure individual metrics including volume and timing of assigned PM dispatches are achieved monthly.
  • Recommend process improvement utilizing Practical Process Improvement (PPI) methodology for assigned work areas.
  • Other miscellaneous duties as assigned.

Education/Experience

  • Bachelors’ degree or Associates degree desired, High School Diploma/GED is minimum requirement
  • Minimum 3 years prior experience working in customer service or in a scheduling function.
  • Experience developing and maintaining spreadsheets in Microsoft Excel is a must.
Knowledge, Skills, Abilities
  • Must possess organizational skills to meet deadlines. Ability to multi-task.
  • Intermediate proficiency in computer applications: i.e. Microsoft Word, Outlook, Intermediate Excel skills is a must.
  • Ability to solve problems and work independently
  • Ability to produce accurate high quality work with attention to detail
  • Ability to work well both independently as well as within a team environment
  • Ability to work overtime as dictated by work load.
