Job Responsibilities:
Provide full spectrum of secretarial and administrative support to the Listing Policy & Secretariat team
Perform general administrative duties including word processing, copying, scanning of documents and filing
- Answer telephone calls and receive visitors
Organize meetings including: booking internal venue, checking expected attendance, arranging tabled documents and meeting equipment (including conference call dial-in)
Liaising with internal teams on agenda items, documentation and conflict information
- Drafting of formal agenda from template
Uploading documents to an electronic software platform and setting access rights
- Copying and binding documents for dispatch
Liaising with postal staff on the despatch of documents
Attending meetings to receive and direct attendees
- Maintaining meeting attendance records
Perform any other administrative duties as assigned by supervisor
Job Requirements:
HKCEE/HKDSE or above with formal secretarial training
At least 3 years of secretarial and/or administrative experience in serving in a well-established financial organization
Paralegal background would be an advantage but not essential
Organised, attentive to detail, and with the ability to multi-task
Able to communicate effectively in both written and spoken English and Chinese. Proficiency in Putonghua an advantage
Proficiency in MS Word, Excel, PowerPoint, Outlook and Chinese word processing
