Job Description

Job Description:

  • Reception of entering bells, telefaxes, the post correspondence and a direction of the received information to corresponding employees

  • To communicate with the local business administration bureau for the annual checking of business license

  • To report to the tax authority (both the branches of national tax bureau and local tax bureau) for monthly/quarterly/yearly tax declaration

  • Update of telephone line moves and extension list/cell and internal phone list and distribution monthly base

  • Office work organization , receives and allocates incoming & out coming correspondence and facsimiles, sort and direct mail to the proper person

  • Send out telefaxes, post and other correspondence under the specified essential elements

  • Greet, assist, meets clients and customers , provides with necessary information

  • Type letters, quotes and memos and perform data entry functions as needed

  • Works with delivery services, such as drinking water, coffee ordering

  • Responsible for organizing all the regular running (trouble-free operation of telephones and office equipment, enveloping and sending of post, etc.)

  • Assisting and coordinate with purchasing of the office equipment and consumables

  • Keeps in touch with landlord; Coordination special services from Forum business center for office

  • Coordinate and control of electronic entrance system (provide, registration of electronic cards)

  • Organizes removal of the company to another office (if needed)

  • Coordinate and control of cleaning services,

  • Accurate and systematic storage of correspondence and other materials, connected with the fulfillment of the work duties


Experience Requirements:

  • Work experience in foreign company not less 1-2 years

  • Not less 2 years of experience on the assistant /office administrator/secretary position

  • Phone communication skills


Knowledge / Educational Requirements:

  • Basic knowledge of clerical work and business etiquette

  • Basic knowledge of the finance, accounting and business administration

  • English knowledge (ability to understand orally, read and understand simple technical text, oral knowledge to talk on common topics and to make themselves understandable)

  • Knowledge of modern computer and office technique (PC, copier , fax, scanner)as a user

  • Knowledge of modern office software (MS Office, Lotus Notes) as a user
