About The Role:

Under the general supervision of the LV Manager of Project Planning, to administer the functions and operations of the LV Project Planning department of the Linguistic Validation division, ensuring the efficient, accurate and timely completion of all client projects and assigned work. The position is responsible for a positive client experience including effectively addressing issues escalated from others, as appropriate.

 

The LV Project Planning Supervisor oversees day-to-day project activities within the LV Project Planning department and ensures production and project objectives are met including budgetary and KPI requirements.  The position regularly meets with teams to discuss open and emerging business issues as well as to make recommendations for improvements and lead on their implementation.

The LV Project Planning Supervisor has department supervision responsibilities and direct reports.  The position completes individual performance reviews and sets goals for the team to achieve overall objectives of the LV Project Planning Department and LV division overall.

 

 

 

 

 

 

Responsibilities:

 

  • Administers the project planning department functions and operations.
  • Ensures that all assigned client projects are completed in an efficient, accurate, and timely manner and transmitted to clients as required.
  • Maintains accurate and up-to-date daily log of on-going client projects for the purpose of coordinating the amount and complexity of work among employees under supervision, modifying work assignments as necessary to meet the department’s objectives.
  • Schedules and assigns work among employees under supervision, sets work methods and performance standards, and monitors their performance.
  • Identifies, communicates and manages production risks as appropriate to eliminate potential pitfalls or obstacles.
  • Reviews and analyzes all questions from employees under supervision regarding LV project planning work-related issues or problems and resolves issues and implements corrective measures as necessary to ensure proper workflow and client satisfaction.
  • Ensures strict adherence to deadlines, budgets and the completion of high-quality deliverables.
  • Maintains and assists in ensuring the reliability of key operating data and databases.
  • Reviews, updates, and maintains accurate and up-to-date project and client records.
  • Ensures timely and effective feedback is provided to Vendor Management related to external resource performance.
  • Ensures other departments are kept informed regarding the status of project work and otherwise communicates as needed to ensure client needs are met and issues are resolved.
  • Actively participates in management and other meetings.
  • Composes or generates a variety of materials (e.g. reports, memos, letters, manuals, etc.) for the purpose of documenting activities, training, providing written reference and/or conveying information regarding status of projects, etc.
  • Recommends policies, procedures and/or actions for the purpose of improving efficiency and product quality, and for providing direction for meeting the company’s objectives.
  • Participates in the selection process for new employees.
  • Supervises and evaluates assigned personnel in a timely and professional manner for the purpose of ensuring their department and individual performance objectives are met.
  • May perform LV project planning duties as needed for the purpose of contributing to the accurate and timely completion and shipment of projects within the department.
  • Understands and adheres to company Quality Management System (QMS) requirements including but not limited to ISO 9001 and ISO 17100 standards. Assists in root cause analysis.

 

Additional Duties

Performs other related duties, as assigned, for the purpose of ensuring the efficient and effective functioning of the LV Project Planning Department or other company goals and objectives.

Requirements:

 

  • Knowledge of company procedures as applicable to all LV departments.
  • Ability to provide leadership for employees and provide clear direction, goals and objectives in a respectful manner.
  • Ability to communicate with, train and lead employees through changes in procedures, clients’ requirements, and other production processing issues.
  • Ability to make decisions and lead employees through problems on job-related issues.
  • Strong organizational skills in a fast-paced, deadline-driven environment
  • Ability to prioritize and coordinate competing work demands and maintain composure under pressure.
  • Fluent communication skills of written and verbal English.
  • Knowledge of English grammar, syntax, and word usage, and excellent proofreading skills.
  • Ability to report work orally and in writing as required.
  • Ability to understand, apply and use personal computers and software applications (e.g., Microsoft Word, Excel, PowerPoint, Adobe Acrobat, CAT Tools, Office 365/Skype, CRM/AURORA/other production software).
  • A team player who can collaborate effectively with a diverse group of individuals.
  • Ability to establish and maintain cooperative working relationships.
  • Ability to exercise discretion and independent judgment in relation to performance of work responsibilities, working with minimal supervision.
  • Ability to maintain confidentiality of information regarding company financial and other information.
  • Ability to resolve customer service and production issues in a professional and efficient manner.
  • Quality focus and detail oriented.
  • Ability to determine root cause analysis.
  • Any combination of education and experience providing the required skill and knowledge for successful performance would be qualifying. Typical qualifications would be equivalent to:
  • Four-year college degree or equivalent in Business, English, Foreign Language, Social or Applied Science, or other related field.
  • Four or more years demonstrated successful LV Project Planning experience.
  • Successful customer service/account management experience, generally a minimum of four years, including at least three years’ experience within the translation industry.
  • Demonstrated successful leadership or mentoring experience, minimum of two years.
  • Advanced computing skills, including experience with TRADOS or other translations management tools (CAT, or Computer Aided Translation tools).
  • Experience with publishing applications (e.g., XML, JSON, In Design, etc.) a plus.
  • Verbal and written fluency in at least one foreign language a plus.
  • Previous translation experience preferred.
