Primary Purpose

Under the supervision of a senior member of Project Management team (Project Manager or Senior Project Manager), the Project Coordinator Intern is a key member of a project team, working closely with and supporting the day-to-day administrative activities of the entire Project Management team. Tasks may include but are not limited to preparation and review of project files, updating electronic records and systems information, communication and coordination with linguists, and generation of simple quotes. May also assist with scheduling projects and arranging purchase orders for linguists.

Essential Functions

• Assemble files and necessary reference material to assign to linguists for translation.

• Perform review and cleanup of linguistic proof.

• Process vendor payment information.

• Update Translation Memory (TM) and complete manual updates in Computer Aided Translation (CAT) tool, such as Trados, Groupshare

• Review translated documents and finalized deliverables for correct implementation of formatting edits

• Collaborate with project management team to ensure client specifications are met and projects are successfully delivered to clients

• Prepare single language/single file quotes.

• Utilize project management software in the completion of tasks.

• Support resource allocation prior to project launch with heads-up to vendors.

• Prepare administrative documents for project processing such as printing/scanning forms or certificates requiring signature

• May assist with scheduling projects and arranging purchase orders for linguists

• Performs other related duties as assigned for the purpose of ensuring the efficient and effective completion and shipment of projects

Work Schedules for Intern

Temporary full-time or temporary part-time assignment (duration and hours dependent on location) as needed to successfully meet individual and department goals and objectives and meet employee and client needs. Part-time work schedule may include full days or part-time days with a minimum of 20 hours per week.

 

Knowledge, Skills and Abilities

• Strong organizational skills in a fast-paced, deadline-driven environment

• Ability to prioritize and coordinate completing work demands, and maintain composure under pressure.

• Fluent communication skills of written and verbal English.

• Ability to report work orally and in writing as required.

• Ability to understand, apply and use personal computers and software applications (e.g. Microsoft Word, Excel, PowerPoint, Outlook, Adobe Acrobat, CRM/AURORA/other production software, CAT Tools, Office 365/Skype).

• A team player who can collaborate effectively with a diverse group of individuals.

• Ability to establish and maintain cooperative working relationships.

• Ability to maintain confidentiality of information regarding company financial and other information.

• Ability to resolve customer service and production issues in a professional and efficient manner.

• Quality focus and detail oriented.

 

Qualification Profile

Any combination of education and experience providing the required skills and knowledge for successful performance would be qualifying. Typical qualifications would be equivalent to:

 

Two to four-year college degree in progress, or equivalent preferably in Business, English, Foreign Language, Social or Applied Science or other related field.

• Successful customer service experience, generally a minimum of one year.

• One year experience working in an office environment preferred.

• Experience with CAT (Computer Assisted Translation) tools preferred.

• Verbal and written fluency in at least one foreign language preferred.
