Title: Internal Sales Coordinator 销售内控
Report to: Finance – GL Accountant/Finance Manager
Key Relationships: Sales Manager; Supply Chain Manager
Location: The role will be based in Shanghai; however, the role will require occasional travel at home and aboard.
Role Summary: The role is a key link between Sales, Supply Chain, and Finance, ensuring the departments cooperate smoothly while minimizing risk to Haygrove from poorly-written or poorly-recorded contracts.
The Sales Operations Supervisor will be the company’s safety net for reviewing and recording all incoming/outgoing contracts to understand payment terms, margin, clauses and related risk. Other functions will include production of Sales and Finance SOPs with the relative Heads of Department, as well as ERP (Navision) data input and ownership of IT(Finance System).
Key Responsibilities
This role is looking for a Sales Operations Manager who takes pride in managing company risk through detailed contract review and analysis while also looking for every opportunity to boost colleagues' productivity with insights on process.
- Ensure all figures in supplier and client contracts reconcile correctly with quotations;
- Ensure all language in bilingual supplier and client contracts reconciles;
- Analyze contract clauses and highlight potential sources of risk for further review by line managers prior to approval;
- Maintain data tidiness in ERP system through active management and record keeping;
- Work with internal Management Team and stakeholders to suggest process improvement through additional SOPs and/or technological solutions; ie. Trello for workflow management or Slack for communications;
- Work with Finance Dept. to update Two-Year Rolling Cashflow to include latest projects or investments.
Requirements
- Strongly written and verbal communication skills. Never shy to communicate clearly with questions or recommendations.
- Strong attention to detail and understanding of what may constitute business risk; commercial understanding and mentality.
- Ability to offer reasonable, logical, challenge to internal stakeholders seeking to present contracts or projects for review and approval.
- Calmness under pressure, able to process large volumes of data at high speed while working to a deadline.
- Proactive, analytical, and an enquiring mind who wants to make a difference by always seeking to understand and improve existing processes.
- Bachelor’s degree in Finance or related field, a background of overseas study or work in China-based MNC subsidiaries preferred;
- Some commercial experience preferred, either in Sales or Operations team. Prior experience handling contract review and processing preferred.
- Mandarin fluency with a high level of written/oral English.
- 3+ years of financial experience in MNC, experience of a manufacturing or trading business preferred.
