POSITION SUMMARY
Purpose
This position is accountable for office management for Hohhot offices through leading G+P office Administration Assistant. This position is accountable for administrative support to Hohhot Ops Director.
NATURE AND SCOPE
This position reports to Hohhot Ops Director. As Admin Supervisor, this position is responsible for overall office management, including implementation of office policy, manage office maintenance and security, manage various vendors and to ensure the related office stationery supply as well as manage company cars. This position is accountable for daily and routine administrative assignments from Ops Director as well as administrative support to domestic and international travelers for their visits to Hohhot. This position is also responsible for office safety through working with EHS team on office safety scorecard management.
PRINCIPAL ACCOUNTABILITIES
- Provide administrative support to Ops Director of Hohhot company, including travel management support, expense claims support, meeting arrangement, meeting follow up and Calendar management, Functional coordination.
- Assist Ops Director to keep and maintain good relationship with Jiutai customer. And assist Ops Director to maintain effective communication with Administration related matters.
- Assist Ops Director to keep and maintain good relationship and keep effective communication with other AP entities in China.
- Overall office management responsibility for Hohhot company.
- Manage office budget and daily control in admin. area and office fixed assets management.
- Lead the admin assistant to check Team’s Expense reports on monthly basis.
- Lead the admin assistant to provide administrative support to the management team of Hohhot company.
- Lead the admin assistant to provide administrative support to domestic and international travelers and visitors, including hotel reservation, ground transportation, site visiting arrangement, and other admin related support requested by the visitors and travelers.

Lead the admin assistant to ensure that the office is being managed and maintained well to provide a safe, clean and hygienic office environment.
- Lead the admin assistant to manage office related purchase to ensure good quality product and service being provided at lowest cost, which includes security service, telecom service, car service, stationery supply and so on.
- Lead office safety. Lead the admin assistant to work with EHS to improve office safety through scorecard monitoring and regular office safety review meeting.
- Manage company chops and related office/company documents through a well-established control process.
- Admin Vendors management- Shuttle bus, Cleaning,Meals, etc.
- Other tasks assigned by Ops Director.
MINIMUM REQUIREMENTS AND QUALIFICATIONS
- Education
- University education
2. Work Experience
- Minimum 6 years of experience in a managerial capacity in multinational Companies operating in China. AP internal Administration management experience is a plus.
- SAP system management is a plus.
