Job Description

Responsible to: Director of Higher Education and Careers / Director of Culture


Job Responsibilities:


  • To support the university guidance team in providing assistance to all pupils making their plans for higher education.
  • To play a major part in helping to organise the school’s Careers and Higher Education Resource Hub. To Include:
  • Ensuring appropriate and attractive materials are displayed and promoted to pupils, keeping them informed of school and external HE/Careers events and issues and that they these are regularly updated and kept in good order.
  • In consultation with the university guidance team, ensuring that the school’s provision of careers/university information (physical and digital) is well-maintained, up to date and accessible to all pupils.

3. To ensure that the electronic records used by the University Guidance Team are kept up to date and accurate. These will primarily involve (but are not limited to):


  • Pupil Academic Transcripts
  • Pupil Progress Reports
  • University Contact Database
  • Work Experience Database
  • Destinations/Alumni Information
  • Strategic Annual Review Database

4. In coordination with the University Guidance Team helping to maintain a formal calendar of careers/university guidance events and to help assist the Director of Higher Education and Careers in collecting qualitative and quantitative data allowing effective evaluation of the schools Careers/University Guidance provision.

5. To aid the University Guidance Team in making contact with universities and employers and making the necessary arrangements for events such as the annual university fair, careers talks, visits and work experience. This will involve liaising with internal and external agencies and ensuring the completion of any required internal or external checks and documentation.


6. To assist the University Guidance Team with making all necessary arrangements for careers-related testing particularly those involving university admissions tests (e.g. SAT, ACT, PSAT, Oxbridge tests etc.). This will involve duties such as registering students, arranging test venues, setting up rooms, invigilating, contacting parents & students and recording test results. This will involve some work on Saturday mornings.


7. To actively promote awareness of careers events amongst staff, parents and students.


8. To attend and assist at occasional evening events in school (e.g. Higher Education Evening, University Guidance Twilight sessions).


9. In co-ordination with the Director of Culture and the festival teams, to assist with the efficient organisation and management of events and festivals throughout the year. To include, specifically but not necessarily limited to, the Arts Festival, the Festival of Education, and any other event or events of a similar nature, parental and non-parental, that might be scheduled.


10. Under direction of the Director of Culture and the festival teams, to help host guests and speakers at festivals and events, particularly with regard to logistics and on the ground support where a Chinese speaker is needed. This is to include pre-event logistics, such as travel and accommodation, and where necessary, visa acquisition.

11. To undertake any other particular duties which may be reasonably assigned to you by the Director of Higher Education and Careers / Director of Culture from time-to-time.


Person Specification for a Part-time Administrative Assistant & Careers Events Co-ordinator


1. A general awareness of the school’s strategic direction and an understanding of the environment in which it operates.


2. Awareness of and responsive to the needs of pupils of all ages.


3. An ability to form good working relationships with staff across the school.


4. Be practical and adaptable.


5. The ability to communicate effectively in Chinese and English and establish professional relationships with staff, pupils and outside agencies.


6. Sound administrative skills including good keyboard skills and have a good knowledge of IT; a knowledge of Microsoft systems is essential.


7. The following skills and experience are desirable; however, the College will provide training when necessary:


  • Receptionist skills
  • The ability to present and display material in an effective manner
  • An interest in and the ability to explore the range of Higher Education opportunities open to pupils.


8. Evidence of a commitment to equality of rights and opportunities.


9. Evidence of a commitment to personal development and training.


10. A willingness to undertake any relevant training (especially surrounding health and safety and child safeguarding)


Note


The post will involve a small amount of evening work for which time off in lieu could be given.
