Position Title: HR Assistant

Department: HR Department

Report to: Assistant C&B Manager

Position Description

The incumbent will be involved in a wide range of support activities inside the HR Department, from maintaining HR system data and personnel profiles to answering employee enquires. An important part of this role will be to act as the liaison between HR and employees, ensuring smooth communication and prompt resolution of requests and questions.


Duties and Responsibilities

  • Daily maintenance of HR system data and ensure 100% accuracy. Collect new employee information to establish personnel profiles and tidy up the HR file cabinet/room.
  • Responsible for the new comer formalities, including preparing office, computer, staff cards and accommodation.
  • Prepare monthly reports regarding employment/unemployment registration and visit the bureaus.
  • Responsible for C&B routine work such as enrollment or ceasing formalities of social, medical insurance and housing fund. Follow up the reimbursement of maternity insurance. Answer enquires related to the above benefits.
  • Responsible for attendance and leave management, including answering queries about leave policy. Report to C&B manager at regular intervals.
  • Handle employee hand-over procedure.
  • Responsible for contract sealing and scanning.
  • Assist with recruitment process when necessary.
  • Responsible for monthly stationary ordering.
  • Help handle employee relations and undertake other tasks and responsibilities as may reasonably be required.


Required Job Specifications

  • Required qualification / academic degree: bachelor degree or above, preferably majoring in HR, Business Management, or relevant fields.
  • Required experience: 1-2 years' work experience in administration, C&B experience is preferred.
