Job Description

Position Summary:

To supply daily support in General administrational fields and perform duties assigned by line manager to maintain the comfortable environment for both staff and visitors.

Key Responsibilities:

Ensure the purchasing and usage of office supplies as Office Stationery Controller and keep good relations with suppliers.

Maintain the IT asset list and control the purchase and replacement of PCs and copiers, printers, and toners with IT team

Be responsible for appropriate supplier selection/bidding processes for selected purchase requests, and supplier and contract pricing validation for all purchase requests.

Prepare admin-related billings and ensure the payment in time.

Ensure domestic / overseas travel arrangements as per specified guide lines for guests, employees and new hires

Ensure the employees, clients and visitors can get good accommodated such as preparation of visa, hotel arrangements, transportation, meals, and tickets for them.

Ensure the support could be supplied for meetings and conferences.

Provide the reception and the secretary services for staff and also visitors

Provide the assistance to facility managements with Facility members and ensure the clean and comfortable working environment.

Communicate with the administrative office of the building for any office facility issues.

Be responsible for housekeeping with respect to deployment & training of contractual manpower, scheduling of cleaning activities, monitoring and bill verification.

Provide the assistance in general HR; update and maintain Organization chart / Role Call List/ Phone List/ Office Seat Chart, CSR activities.

Prepare the desk, PC, stationery, security cards, training files and schedule the induction training for the new staff, and also clear the desk and close the account for the resignations.

Oversee Safety / Fire prevention to ensure staff’s safety. Liaise with QA / OPS team and prepare Business Continuity Planning.

Ensure the good teamwork and performance of other assignments.
