Job Description

Mission of the Job

  • Provide high-level support services to two board members

 

Tasks & Responsibilities

  • Provide personal secretarial support and personal assistance to two board members of KBAP
  • Correspondence management:
    • Communicate with assistants in Munich, and legal entities in Asia Pacific (top management levels)
    • Preparation of various business reports, meeting minutes, PPT presentation materials, statistical charts, briefings and other documents
  • Calendar management - schedule appointments and meetings, manage calendar for two board members
  • Travel management - Arrange and coordinate travel arrangement, hotel bookings, visa application and expense reports for board members & departments
  • Organization of regional group meetings - coordinate with regional parties and assist in preparation of agenda, facilities, venue booking, etc.
  • Document management - Monitor all information flow, including maintaining paper and electronic files
  • Answer, screen, and place phone calls
  • Responsible for preparation of visits of senior management from KB Headquarters
  • Maintain confidentiality of all sensitive or proprietary information
  • Assist in any ad-hoc projects as assigned

 

Requirements

  • Degree holder with minimum 10 years’ experience in Executive Assistant / Personal Assistant roles supporting senior management in MNCs
  • Detail-minded with strong analytical and organizing skills
  • Dynamic and quick learner with strong communication and stakeholder management skills
  • Able to work independently with initiative and have a strong sense of responsibility
  • Language skills: English, Cantonese and Mandarin (written and spoken)
  • Excellent Microsoft office skills (Word, PPT, Excel)
