KEY RESPONSIBILITIES
1. Provide high-level secretarial and administrative support to CHRO
? Handling information requests
? Performing clerical duties, such as:
? Preparing reports or documents
? Preparing presentations and announcements
? Organizing & maintaining paper and electronic files
? Scheduling appointments/meetings and contact with outsiders
? Organize business itineraries, travel arrangements, conferences, meetings, and social functions
? Reimbursement handling.
? Daily schedule maintenance, and implement other tasks assigned by leaders
2. Provide daily support to C&B function:
? Handling labor contract signing, employee entry, resignation and other procedures;
? Update, filing and maintain staff/faculty personal file timely and accurately by a proper & systematic approach.
? Manage HR systems (Success Factors, leave system, welfare system) to solve employees' daily problems with the system;
? Issue regular notices to employees, such as on-site service notices from banks, welfare providers, and holiday notices;
? Respond to and resolve employee inquiries or concerns regarding benefits, services and insurance coverage issues. Help resolve service issues and improve and streamline processes.
? Assist in completing the HR report;
? Responsible for document stamping, scheduling payments, booking meeting rooms;
? Responsible for issue the employment letter.
? Other work temporarily arranged by the department
KEY REQUIREMENTS
? University education background and above; Preferable major is in English, HRM etc.
? Above 3 years related experience in a foreign company in an assistant role;
? Fluent in both oral and written English and Mandarin;
? Proficient computer skills with sound knowledge of Excel, Word, PowerPoint etc;
? High level of organizational and interpersonal skills;
? Ability to work under pressure and meet deadlines;
