Job Description

Essential Functions of the Job:


  • Support policies and operating procedures’ communication and at functional level
  • Works closely with other functional departments
  • Documentation. Maintains and keeps all filing system up-to-date and systematic
  • Manage travel plan and budget updates
  • Buy trip coordination, calendar update and support
  • Provide secretarial support
  • Manage time schedule
  • Collaborate with the assistant of other functional team leaders on team building events and activities
  • Manage and perform business related presentation material and activities
  • Manage Sr. Managers/Managers’s reimbursements
  • Other ad hoc projects upon request – lead or support company or departmental wide events i.e. Supplier Summit, Leadership meeting, Company Outing, MMM, etc


Specific Duties and Accountabilities of the Job:

  • Performs adequate administrative and secretarial supports, preparing presentation materials, taking minutes, drafting correspondence and typing, handles calls and emails
  • Arranges and schedules meeting/appointment, manages calendar, and coordinates special events & activities on behalf of Director or VP. Makes sure the VC and other facilities function in a seamless manner. Handles calls and emails
  • Travel Arrangement: (Visa, ticket, hotel, transportation, document preparation, TRF application etc.)
  • Provide Buy Trip Supports as needed, car booking, hotel reservation, invitation and reception, TRF application, and meetings
  • Support special project: Supplier Summit, MMM support, Spark Pantry support, etc. Be department contact person for company activity (e.g. X'mas party, Company Outing)
  • General report consolidation and analysis as required
  • Display authority for approval in systems when applicable
  • Other ad hoc projects upon request


Knowledge/Skills/Abilities/Other Requirements:

Person specification


  • Graduate with min. 3-5 years relevant working experience in multinational company
  • A self-starter with high sense of urgency
  • Can multi task
  • Speed along with attention to details
  • Strong interpersonal and communicational skills
  • Able to work under pressure and take ownership
  • Excellent command of spoken English

  • Proficient Computer skills including MS Word, Excel & Power Point, and e-mail
