Job Description

The overall goal of the position is to provide administrative support to Managing Director as well as a short list of senior managers by managing the calendar, travel, information requirements, materials and meetings in a way that maximizes efficiency and effectiveness of the office.


Responsibilites:

  • Manage the calendar(s) and make the meeting arrangements;
  • Attend in key meetings and produce the minutes;
  • Coordinate and confirm the bookings of flights, train and hotel accommodations;
  • Organize and submit expense report(s) on monthly basis and track the status;
  • Handle the applications of visa, working permit and become familiar with relevant procedures;
  • Assist in producing the presentations, monitor KPIs and produce management reports;
  • Centrally manage and update the event web site and corporate wechat account;
  • Interface with internal and external partners including HQ & JVs and maintain the relationships;



Qualifications:

  • Interpersonal skills are important, as interaction with a wide variety of people either in person, over the phone or via email, forms a part of daily activities.

  • Detail oriented with strong organizational skills;

  • Exceptional written / verbal language skills in English and Chinese;

  • Proficient with Microsoft Outlook, Word, Excel, PowerPoint

  • Excellent time management, able to manage multiple concurrent tasks with many inputs

  • Strong work ethic with professional stance, thorough, flexible and reliable;

  • Ability to be productive with little oversight;
