Job Responsibilities:
1. Assist EA to handle executive calendar coordination, scheduling, and business contacts
2. Seamlessly manage logistics and help facilitate meetings across multiple offices
3. Plan and coordinate company events
4. Assist EA to greet executive’s visitors, clients and vendors
5. Research and aggregate/consolidate information into summary reports
6. Create and edit ad-hoc presentations and documents for executives
7. Assist EA to manage travel and transportation coordination for executives and their direct reports
8. On-board new direct reports, coordinating with IT to secure proper equipment and desk space
9. Help ensure that executives have appropriate meals planned, tackling everything from delivery/pick-up to reservations
10. Provide support for office management responsibilities including building administration
11. Maintain positive relationships with key stakeholders and leaders
12. Confirm objectives for meetings and recommend participants and best approach
13. Help ensure participants are aware of and prepared for the meeting
14. Attend meetings, capture major take-a ways, and work with executive team to ensure follow up
15. Other tasks assigned by the company
Main Requirements:
1. Education: Bachelor degree
2. Working experience: 3+ years of department assistant experience
3. Ability to process and prioritize email and other tasks
4. Experience with event planning
5. Outstanding interpersonal and verbal/written communication skills in both Chinese and English.
6. Problem-solving ability
7. Strong multi-tasking skills and proven track record with time management
8. Ability to learn quickly and maintain a high-performance level in a fast-paced, high volume environment
9. Strong team player able to interact seamlessly with co-workers
10. Self-motivated and resourceful
11. Trustworthy and ability to maintain confidentiality critical
12. Good health is required
