- Source venues and negotiate business terms with suppliers, including hotels, AV, production vendors
- Calculate potential costs incurred in completing an event
- Prepare and distribute invitations to target market
- Process and administer registrations
- Work with in-house design team and produce all marketing materials to support the event
- Source event premiums and gifts
- Provide on-site support at events
- Work with and coach interns
- Assist in daily administration work to the Northern China Market Service team, be responsible for the team important documents keeping and management to ensure all the documents (hard and soft copies) are updated timely, including but not limited to budget, expenses, vendor, premium, publications, team member leave records
- Prepare team meetings in terms of meeting minutes, organize and meeting room
- Manage stock – corporate premiums, publications and other marketing collaterals
- Arrange CV photo shoots for partners, senior managers and proposal team
- Arrange delivery of publications/materials for events / between offices
- Others as assigned
Experience
- A university degree holder in Marketing or International Relationship relevant major is preferred
- A minimum of 2 years’ working experience, preferably in PR firm, events and international exposure is a plus
- Exceptional interpersonal and communication skills, and strong attention to detail
- Proficient in English and Mandarin
- Computer literate with Microsoft Excel, Word, PowerPoint, E-mail and Web.
- Proven people and project management skills
- Able to work under tight deadlines and handle demanding work
