a. Document Control Responsibilities:
i.The SUPPLIER shall provide a monthly report, in writing to OWNER, so as to keep OWNER fully informed on all aspects of the Project. The format and distribution of this monthly report shall be as agreed upon between OWNER and the SUPPLIER. Monthly reports shall include, but not be limited to, the following:
1. Project Procurement/Commitment Status
2. Permitting Status
3. Construction Status – Actual work completed versus the schedule and work forthcoming during the upcoming week.
4. Equipment and Material Delivery Status
5. Current Conflicts/Issues/Delays
6. Resolutions to Non-Compliant Work
7. Safety Audit/Safety Issues
8. Start Up Status
9. Punch list Status
10. Quality Audit and Rework Summary
11. 5S Status
ii.Other Reports - In addition to the report listed above, the following logs and reporting information shall be generated and maintained by the SUPPLIER and shall be made available to OWNER at all times:
1. Weekly Owners Meeting Minutes
2. Document Control Log
3. Request for Information Log
4. Field Observation Report Lob
5. Submittal Log
6. Project Man loading Log
7. Procurement Report
8. Commitments Log
9. Change Order Log
10. Pending Change Order Log
11. Subcontractor Daily Reports
12. Cost Variance Report
13. Start-up/Commissioning Schedule and Summary Report
14. Rework/Quality Management Log
15. Action Item Lists
16. Safety Reports including violations, near misses, incident reports follow-up activities and corrective/disciplinary actions
17. Clean Construction Protocol Log including violations with associated names, dates, times and nature of violation.
18. Construction Progress Curve
19. Summary Schedule
20. Transmittal Log
21. Punch list Log
22. Site Delivery Log
23. Warranty Start Date/Finish Date Log
iii.The SUPPLIER shall keep Daily Reports for each and every day of the project duration. The Daily Reports shall include the weather conditions and summarize the events of the day. The SUPPLIER shall provide one unedited copy of the reports to OWNER at the completion of the project.
iv.The role of Document Control will include (but not limited to) the following additional responsibilities for documentation as it pertains to Section 2.a.ii:
1. Organize all project documents.
2. Receive and transmit all project proposals, submittals, and transmittals.
3. Keep record of all incoming and outgoing documents and status of where at in sign-off loop.
4. Keep both hardcopy and scanned copy as necessary for recordkeeping of documentation in Section 2.a.ii.
5. Coordinate and administer documentation and communication processes for the Project Team.
b. Draftsperson Responsibilities
i.OWNER and SUPPLIER shall be utilizing AutoCAD Release 2013 as the design platform for this project. The SUPPLIER and its tiered contractors and suppliers shall also utilize this platform for all of their submittals, as-builts, shop drawings, etc.
ii.Working knowledge of ACAD and drawing formats. Must be able to develop drawings in layout/plan view, sectional view, 3 dimensional and P&ID (process and instrumentation diagram) formats.
c. Admin Assistant Responsibilities:
i.Backup Admin Assistant from CDAT Project when necessary to support CBUMP Project Team needs including but not limited to the following activities and responsibilities.
a. Receive visits and answer phone calls as needed to support Project Team activities and plans.
b. Keep track of Project Team member whereabouts in regards to travel, vacation and meeting schedules.
c. Coordinate travel arrangements for Project Team members as approved by Project Manager.
d.Organize, manage and keep inventory for office supplies and business center equipment needed to support project team.
e. Maintain meeting room schedules to support Project Team.
f. Backup Project Document Controller as necessary and when Document Controller is absent or unavailable.
g. Knowledge, skills and attributes required include:
i. Being able to handle many tasks at one time
ii.Exercise judgment within generally defined practices and policies in selecting methods and techniques for obtaining solutions
iii. Effective problem solving; make appropriate decisions
iv.Professional demeanor in interfacing with guests, government authority, internal customers and suppliers/vendors (in person, on the phone, or through email)
h. Proficient in a variety of computer skills (see below)
i. Comprehend customer needs to be able to prioritize work order distribution and communication accordingly
ii. Ability to help develop business processes to make more efficient and minimize non-value added activity
i. Additional Job responsibilities include (but are not limited to):
i.Single point of contact for Facilities Project Team customer/service requests through OWNER software databases (STARs, SAMs, etc.…) or by phone.
ii. Managing and Administering work requests as required
iii. Generating reports to keep Facilities Project Team knowledgeable of priorities and to track performance
iv. Inputting work orders as completed and updating work order documentation as required
v. Maintaining calendar and scheduling meetings for New AT Project Team.
vi. Planning Facilities meetings and logistics thereof
vii. Performing other clerical duties as needed such as ordering supplies, distributing mail, etc…
d. Computer skills:
i. Must be proficient in MS Word, Excel, and Outlook.
ii.Must have experience and training to use AutoCAD software. Certification for software training should include ACAD 2013 or later version.
iii. Knowledge of MS SharePoint a plus.
e. Language skills:
i. Must be fluent in both Chinese and English (verbal and written)
f. Desired Experience:
i.Five (5) of more years with document control and/or admin assistant duties in construction or industrial facilities required.
ii.Must be familiar with facilities equipment in regards to process piping, HVAC (heating, ventilation, and air conditioning), electrical and plumbing.
