Job Description

General Description:

Enhance on high quality services focus on customers’ expectation, with timely, efficiency and providing accuracy information to minimize customer complaints.


Specific Accountabilities:

  • Follow the handling procedures as laid down for customers.
  • Process import and export declarations including preparation of necessary documentation. Liaise with customs to rectify and issues.
  • Ensure that all customer orders are fulfilled daily and respond shipment enquiries to customers on a timely manner.
  • Ensure the accuracy of system transactions and documents creation.
  • Work closely with operations and other teams within the project to meet customers’ requirements and solve daily operational issues.
  • Track and trace shipments where necessary, i.e. critical orders, delayed orders etc. and communicate progress internally and to customers.
  • Preparation of monthly performance reports to customers.
  • Receive and process special requirements or instructions from the customers and manufacturers.
  • Coordinate and schedule in-country transport movements – collections and deliveries, and communicate to warehouse supervisor.
  • Understand and know well the operation cost, give correct quotation to customers for any additional operational requirements and provide billing documents to Finance Department.
  • Perform any special duties / projects as assigned by the management.


Position Accountabilities:


  • Perform services duties (POD collection & uploading, trade declaration, subcontractor cost verification and license controlling) in a timely manner to ensure the operation process flow go smoothly and efficiently
  • Execute the pre-shipment (ISAC applying and shipment no. creation) and post-shipments activities (consol document sorting, T&T events updating and master filing) in compliance with the department work procedure and customer SOP
  • Coordinate all billing related issues for key accounts according to the customer SOP
  • Liaise with oversea office on settling rate disputes according to customers’ tariff
  • Support on the special billing work tasks with accuracy according to the customers’ requirement
  • Invoicing to customers and inter-companies in compliance with the company guideline and rule
  • Backup to the team in order to maintain the daily works in a stipulated standard
  • Assist the team head to execute assigned jobs
  • Undertake follow up in compliance with Customers’ requirements and make response in timely manners
  • Provide door to door service including clearance and delivery as required.
  • Track & trace for partial and irregular shipments and keep customers informed the status
  • Be help desk to answer various inquiries from external and internal general customers
  • Handle complaints and claims from customers and to co-ordinate exceptional cases with agents
  • Implement billing process in accordance with customers’ requirements as well as company’s rule
  • Verify the costs from subcontractors and confirm the booking to traffic accountants
  • Monitor the job performance of the assistant of C/S agents to ensure quality of paper work
  • Develop assistant of C/S agents in business knowledge and personal competence by coaching and training


Skills Required


  • Diploma in Logistics or related disciplines
  • Minimum 1 years related working experience in air freight forwarding / shipping / logistics field
