Working with Business Support Services team, you’ll aligned to work with some of firms most high profile clients and their teams to enable EY to deliver a global leading service. You’ll also support our Partners for their administrative work.

The opportunity

Working as a valued member of the Greater China Business Support Services team, you have the opportunity to deliver a best in class business support service that provides high-quality, customised solutions and support to EY’s most high profile external clients. We’re looking for someone like you who has the autonomy to become a key Partner Secretary focusing on operational excellence, efficiency and enabling EY to stay at the leading edge of our industry.

Responsibilities:

Your key responsibilities

As a Partner Secretary within Business Support Services Team, you’ll spend most of your time independently driving the planning, co-ordination and delivery of the business support duties ensuring diary and travel management is a top priority. Partners, Directors and Senior Managers will look to you for best practise and administrative support within all areas. Furthermore, you will act as an ambassador, embodying the EY culture and reputation.

Skills and attributes for success

  • Be responsible for calendar management, requiring interaction with internal and external executives, to coordinate a variety of executive meetings.

  • Answer phones and direct all incoming calls to appropriate party promptly and efficiently, assist with travel plans and logistics arrangements.

  • Work closely with Partners and Executives to coordinate and launch hard copy or emails to consultants, clients and potential clients.

  • Prepare and edit all outgoing correspondence, e.g. letters, funding proposals, press release, marketing and newsletters.

  • Prepare bills with required details and send to PIC/EIC on required time.

  • Provide other administration supports for business if necessary.

Requirements:

To qualify for the role you must have

  • Diploma holder or above with a minimum of 3 years of secretary experience

  • Hands on PC skills including Word, Excel, PowerPoint and Chinese word processing.

  • Good command of spoken and written Chinese Mandarin and English, proficiency in Cantonese will be an advantage.

  • Independent, detail-minded and well-organized.

  • Able to work independently and a good team player.

  • Excellent communication and interpersonal skills.

Ideally, you’ll also have

  • Secretary/ executive assistant experience
  • strong communication and interpersonal skills
