Job Description
This position is responsible for assisting DOC in achieving revenue goal of department. Accurate administrate and control all DEF bookings, maximum function space occupancy rate, revenue and guests’ satisfaction. Work closely with reactive sales and operation departments to handle events successfully. Supervise event managers, event executives and coordinators in their daily work by offering advice and guidance.
协助宴会销售总监达到并超过部门收入预算。准确地管理签约会议团队/宴会预定,最高限度地提高宴会厅使用率、营业额、以及客户满意度。通过与销售及营运部门地紧密合作圆满完成团队、会议、宴会等活动的接待工作。督导宴会统筹经理、宴会统筹主任及协调员的日常工作。

Essential Responsibilities:
基本职责:

To maintain the corporate image of the company by including presentations on Hilton Reservations Worldwide/ new hotels by Hilton.
维持企业形象,包括希尔顿及新酒店。

Set up-selling target with DOC for event team. Ensure a sales attitude prevails at all times, utilizing every opportunity within the scope of your work that will assist with the maximization of revenue.
协助宴会销售总监制定统筹团队增值销售目标,确保销售的态度在所有的时间都被执行,利用每一个工作范围内的机会,发掘签约团队和宴会活动的消费潜力,协助收入最大化。

Follow up every call-in/walk in leads by Hilton standard with positive sales attitude. Handle site inspection.
按照规范流程接听客户来电、并确保以积极销售的态度接待所有未预约客户。处理已签约客户的现场视察。

Ensure all traces and events inquiries are completed and recorded and accurate trace dates and follow up within Meeting Success Standard Procedures, ensure that input standards are correct and always meet the HMQ and Brand standard.
确保团队/宴会合约内容都在会议成功标准程序内被准确跟进。确保系统输入标准是正确的,而且总是满足HMQ和品牌标准。

Follow up on contract, agreed deposit and cancellation charges to ensure the hotel policy is followed by all team members.
按流程跟进押金、合同和违约罚款,团队成员贯彻执行酒店政策。

Review and confirm all events details with clients and operation team in advance. Issue accurate BEO/Group Resume/Floor Plan/Change Log/VIP Alerts etc. on time. Conduct weekly BEO meeting, handover events to operation departments.
会前与客户及营运部门密切沟通、确认各项活动细节。在酒店规定时间点前出具正确的团队/宴会任务单、场、更改单、贵宾通知等文件。主持每周定期召开的营运协调会,确保将团队信息准确地交付营运部门执行并复核。

Greeting/Farewell event customers. On call to solve any problem that may occur during the stay of the respective group. Arrange exit interview before group/event departure, develop potential repeat business.
欢迎、欢送团队/宴会客户,随时待命并协助营运部门解决在店团队/宴会活动发生的意外事件。协助宴会销售总监做好每个团队离店前的会后面谈,提高客户回头率。

Responsible for Meeting Planner Survey (MPS) program. Achieve goal of uploading, responds & satisfaction. Handles after sales correspondence (respond of guest feedback and thank you letter from the department).
负责宴会客户满意度调查项目,完成上传率、回复率和满意度指标。协助宴会销售总监处理售后信件

Ensure event bill be delivered to client in time and update final revenue data into system. Assist accounting able to receive the payment in line with agreement.
确保活动账单并在酒店规定时限内交付客人核账,确保系统录入数据的准确性并及时更新。配合财务部在如约收款。

Maintain good relationship with clients, to transmit business information to reactive team and assist DOC in negotiating with prospective clients.
维护客户关系,向宴会销售团队传递潜在回头客信息并协助谈判。

Attend and prepare daily, weekly, monthly, provisional briefings/meeting, exchange event information, market intelligence, product competitiveness etc. Cascade instructions to event team member.
参加每日、周、月部门例会及临时会议并交流相关已签约团队/宴会活动要点、潜在客户情报、市场、产品竞争力等信息。将宴会销售总监的各项指令传达给统筹团队成员。

Supervise daily operation of event team by offering advice and guidance. Ensure accuracy of reports. Design training plan and conduct routine training for team member.
督导宴会统筹团队日常工作,确保各类营业报表的准确性。为团队成员做例行和系统的培训。

Adhere to departmental operating expenses as laid out in the budget / forecast.
遵守在预算/预测中列出的部门运营开支。

Comply with all systems and procedures as laid down by the Business Development Department. Complete the ad hoc assignment on time.
遵守商务发展部制定的制度及操作程序,按时完成上级布置的临时任务。

Specific Job Knowledge, Skill and Ability:
工作技能技巧要求:

Good commend of spoken and written English and Mandarin.
良好的口头和书面表扬英语和普通话。
Minimum 4 years experience in hotel.
4年以上的酒店经验。
Pleasant personality, polite.
性格开朗,有礼貌。
Independent worker and self-motivated.
独立工作和自我激励。
Team work.
团队合作。
