Job Description

Responsibilities:

Execution of regular governance processes. This will include, but not be limited to:

Project governance

  • Ensuring end-to-end PMO governance procedures are well implemented and adhered to throughout project lifecycle, from new business case submission to official project closure
  • Review of new project business cases, ensure pre-requisites are met with and support manager in challenging the stated assumptions and achievability
  • Collation and due diligence on gate paper assessments to enable management's decisions on project prioritisation and project approvals
  • Facilitation of project approval meetings, preparation of meeting minutes and ongoing tracking of action items
  • Promotion of governance assets to ensure all lines of businesses & divisional staff have access to and understand the use of procedures, templates and documentation
  • Suggest areas of improvements within the established governance, challenge the status quo and support streamlining of processes

Project monitoring & maintenance

  • Monthly analysis of project status reports on Anaplan, including review of project costs at project & portfolio levels, actual vs forecast tracking of delivery timeline, accruals, and summary financial reporting
  • Highlight project variances, risk and issues, areas of escalation to project stakeholders and tracking of follow-up actions
  • Consolidation and reporting on project resource timesheet and planning; working with project teams on resource supply and demand and maintenance of timesheet system on Anaplan
  • Maintenance of project and portfolio assets, including project data entry, retention & maintenance of gate papers, business cases, reporting templates, stakeholder endorsements, meeting minutes and other formal project documentation
  • Act as the knowledge center and single point of contact for project managers in offering project management support and sharing of best practices
  • Perform other ad-hoc tasks or duties as assigned by management

Requirement:

  • Over 3 years of PMO or project management experience is required
  • Degree qualified, preferably in Business, Finance, Accounting or related disciplines
  • Strong attention-to-detail, organization and time management skills with the mindset to cope with working on multiple tasks with conflicting deadlines
  • Good analytical mindset with ability to perform numerical analysis and apply financial concepts for the planning, forecasting and tracking of budget costs and resources
  • Strong knowledge of project management methodologies, tools, and project development lifecycles.
  • Professional proficiency in PowerPoint, Excel and Word
  • Strong communication (written and verbal) skills with ability to develop concise and effective communications for specific audiences
  • Good interpersonal skills in building positive working relationships with diverse teams.
  • Certification in PMP or PRINCE2 is preferred but not required
  • Bilingual skills in English and Cantonese is a strong asset
