PRIMARY FUNCTION
Assists in the co-ordination of general office functions in assigned areas includes stationery, printing, and office administration, travel and hotel arrangements, office equipment and inventory maintenance. Responsible for the operation of telephone switch board including the company‘s internal paging system and visitors handling. Keeps the reception area clean and tidy.
PRINCIPLE DUTIES AND RESPONSIBILITIES
a. Hotel and Travel arrangement
Prepares weekly visitors –in-town summary lists.
Assists Admin Rep to process travel documents include visa, passports, exit/entry permit, air ticket for team members.
Responsible for the preparation of welcome package.
Manage and coordinate all ground transportation for local travel
b. Stationery , Printing and Office Administration
Coordinates office stationery requests
Coordinates with Vendor for all Visiting Card Request
c. Operation of telephone communication system
Operates telephone equipment efficiently to ensure all incoming phone calls are handled properly.
Greets visitors courteously and provides information and assistance when needed.
Ensures security by screening all visitors and alerts appropriate team members.
d. Office Administration & Purchasing
Reception - Vendor Management / Upkeep of News Papers / Red magazine
Printing of PO and other reports
Managing Pantry Inventory
Meeting Room Request management
Maintains attendance and leave records.
Responsible for Medical Bill verification and tracking
JOB REQUIREMENTS
MINIMUM REQUIREMENTS:
Bachelor degree holder
Fluent in written and spoken English
Extensive experience of hotel booking and travel itinerary arrangements
Articulate, detail-oriented, adapts quickly to changes and values other inputs
Proven organizational skills and customer service orientation
Familiarity with MS Office
