Are you a versatile and experienced senior administrative coordinator with strong project support experience? Our Late Respiratory and Immunology Leadership team in Durham, NC is seeking a new Administrative Coordinator to support the local site in Durham and the Leaders in the development and execution of strategic initiatives that support our goal of advancing the science for patients with Respiratory & Immunology-based diseases.
Building on a 50-year heritage in respiratory care, our ambition is to transform the treatment of asthma and chronic obstructive pulmonary disease (COPD) by driving earlier, biology-led treatment, eliminating preventable asthma attacks, and removing COPD as a top-three leading cause of death. With common pathways and underlying disease drivers across respiratory and immunology, we are following the science from chronic lung diseases to immune-driven diseases. Our growing presence in immunology is focused on five mid- to late-stage franchises with multi-disease potential in rheumatology (including systemic lupus erythematosus), dermatology, gastroenterology and systemic eosinophilic-driven diseases. Our ambition in immunology is to achieve disease control and ultimately clinical remission in targeted immune-driven diseases.
Main Duties and Responsibilities:
As the Administrative Coordinator for projects, you will provide support to Late Respiratory and Immunology functional Leadership team. This includes exercising judgment in determining priorities related to handling calendars, meeting and travel schedules, routine reporting, projects and correspondence. As a coordinator, this position may also provide assistance to members of the Gaithersburg and Cambridge UK administration teams including recruitment and onboarding of new staff, tracking of projects, budgets, timelines, and metrics, generating reports and correspondence as assigned. You will be the Durham, NC site coordinator, ensuring stock of office supplies, greeting visitors and ordering site catering as needed.
Responsibilities/Duties Include:
- Lead sophisticated calendars for our Late Respiratory and Immunology Leadership team (including VP, Sr Director, and Directors) to schedule meetings, conference calls, videoconferences and special events; prioritize calendar conflicts.
- Handle telephone calls, mail disposition, multi-location domestic and international travel arrangements as well as live and virtual meetings/conferences
- File expense reports and supply orders with accuracy and efficiency for team members, including follow-through to ensure that appropriate and timely actions are taken
- Effectively coordinate and collaborate with other Administrative Assistants within AstraZeneca on cross-functional and cross-organizational meetings / events / processes, including across multiple international time zones
- Establish and maintain a robust professional network across administrative teams in the US and Cambridge to facilitate effective working
- Track and support assigned internal projects and processes, such as employee recognition program and recruitment tracking; generate reports from various internal systems under tight time constraints
- Track FTE hiring / departure, temp hiring / departure against approved budget targets
- Manage team website to update content on a regular basis
- Schedule candidate interview, and handle onboarding procedures for new hires
- Coordinate department trainings, onsite/off-site events for leadership teams, and all hands meetings
- Communications coordination (eg team communication, milestone successes etc)
- Create and maintain project team distribution lists
- Support and contribute to creating a high performing project team, facilitating good cross-team collaboration
- Independently and pro-actively resolve issues and challenges relating to general and administrative requirements of the project teams. Actively search for continuous improvement in all areas to simplify ways of working and improve efficiency to ensure that inefficiencies, identified problems and opportunities are raised to accountable persons
- Take responsibility for the deployment of new processes within the team and act as a role model providing guidance and on-the-job coaching to team members.
- Maintain and develop expertise in appropriate IT systems to ensure efficient use and provide expertise and support to resolve time-consuming queries, including coaching and training of affected persons to execute the solution. Trains and mentors other Specialists on best practices.
Essential Requirements
- High School Diploma or GED required, Bachelor Degree preferred
- 5+ years of experience in a senior administrative role supporting complex projects
- Prior experience supporting multiple functional leaders
Desirable Requirements
- Relevant training, multitasking, certifications in software, and/or time management
- Proficiency in Microsoft Office Suite and SharePoint
- Strong written and verbal communication skills
- Ability to interact confidently with executives and employees at all levels
- Ability to prioritize time critical assignments
- Experience working in a fast-paced global environment balancing competing priorities
- Experience providing high quality, professional support service, working proactively and independently without day to day direction.
- Ability to format documents for consistent, professional appearance and experience handling sensitive information in a confidential and discrete manner.
- Excellent organization skills and the ability to manage multiple projects or tasks simultaneously and efficiently, identifying high priority and urgent tasks for immediate action so that all activities are completed accurately and on time
- Demonstrate flexibility and adaptability to meet changing business demands.
- Demonstrated proficiency with a variety of virtual meeting technologies, information management software, and Microsoft products
