Job Title: Administrative Assistant
Position Description:
The Administrative Assistant coordinates all apartment leases, maintenance and repair work at apartments with properties owners and other outside contractors and assists with the administration of the day-to-day operations of the Administrative department functions and duties. The Administrative Assistant carries out responsibilities in some or all of the following functional areas: organizes, manages and follows up the work order system, administers the off-campus apartments leases program, provides quality feedback on work performed by internal and external contractor.
Reports to: Administrative Manager
Job Duties:
1. Strong Commitment to school goals and values;
2. Administers the off-campus apartments leases program according to school’s needs; searching new apartments, maintaining and renewing the apartments leases; managing the files of each apartments off-campus including lease contracts, landlords’ contacts, bank account, payment methods, inventories etc;
3. Administers rental registration, invoice (Fapiao), gas re-charge, electricity bill and property management fee etc;
4. Act as liaison between the school and the various apartment landlords, coordinates with internal and external contractors, and landlords on the faculty apartments’ maintenance;
5. Administers the check-in and check-out procedure for oversea faculty; Setups the apartments based on the standard settings home appliances and welcome kits before new teachers move in;
6. Follows up on apartments maintenance work orders to assure the completion of all service requests in a timely manner;
7. Manages apartments keys, key codes and key cards;
8. Assists Head of School on budget of apartments leases and home appliances;
9. Accomplished Administration Department and school mission by completing related results as needed.
Preferred Qualifications:
1. Bachelor’s degree in any field appropriate to Facilities Management, Property Management or Administrative Management.
2. Excellent communication skills, including strong English skills.
3. The ability to work with people of every kind – Chinese or Western.
4. Service, detail oriented.
5. Four years’ experience in a related field of work.
