Role description and opportunities: We are seeking a professional to support a dynamic and growing business line in a highly visible role within a fun and supportive environment. This individual will play a critical role in supporting the return of employees to the office in September 2021, as well as the transition to a hybrid model of remote and in-office work arrangements. The ideal candidate for this position is a high-energy individual who loves to interact with people, including employees, clients and vendors. Key responsibilities include the following: With minimal supervision, the Front Desk Administrative Assistant completes a wide range of administrative support activities. Activities are advanced and varied, requiring sufficient experience to evaluate and select appropriate steps, and the ability to effectively prioritize competing requests and switch focus as needed. Core duties and responsibilities span the following; Greeting clients and other guests Scheduling/calendaring Collaborating with Office Manager to coordinate conference room schedules, events, and catering Managing supply orders Shipping and receiving Assisting with onboarding and offboarding of staff Administering security cards/building access Special, ad-hoc assignments/projects requiring interaction across teams Preparing basic correspondence Setting up filing/organization procedures Other general administrative tasks Regularly uses a range of standard business software (e-mail, spreadsheets, Microsoft Office Suite etc.) to accomplish work. Qualifications Skills and Qualifications: Effective collaboration and communication skills (verbal and written) to interact clearly with clients, vendors and other employees Good interpersonal skills to create a pleasant experience for visitors, such as being personable and attentive Strong organizational skills and ability to prioritize, to complete a variety of tasks throughout the day and meet deadlines High school/secondary school or the equivalent combination of education and experience is required. Applicable vocational training (e.g., courses on relevant business software like the Microsoft Office Suite of products, basic business writing, or similar) preferred, AA degree or relevant business certifications preferred. 3-5 years of total work experience preferred.
