The role and key responsibilities:

The Administrative Assistance will be based in Shanghai, reporting to the head of China LIB Legal.

Your responsibilities will include, but are not limited to:

  • Expense administration, including the tracking of external vendor engagements and invoice processing

  • Diary management, room bookings and arranging teleconference facilities as required

  • Coordination of travel

  • Providing PowerPoint presentation support

  • Telephone liaison, internally and externally – telephone screening

  • General office administration including filing, photocopying

  • Administrative duties, such as coordination of administrative/departmental procedures, and distribution/collection of information

  • Assisting with documentation management, including scanning and uploading of documents to internal documentation systems

  • Handling sensitive personnel related documents (where required)

  • Scheduling appointments and performing other duties related to maintaining senior team members’ schedules as well as for senior visitors from other locations

  • Other duties or tasks that arise on a day-to-day basis

  • Ability to demonstrate utmost discretion and professionalism at all times

  • Ability to prioritize workload and deliver competing requirements/deadlines in a professional manner

  • Excellent organizational skills

  • Strict attention to detail

  • Reliable, self-motivated and proactive

  • Team player and proven ability to build relationships and collaborate with colleagues

  • Good knowledge of various basic Microsoft applications – Word, PowerPoint, Excel, Outlook

  • Excellent verbal and written communication skills in English and Chinese

  • Experience in the legal or financial services sectors preferable

  • Able to demonstrate and provide commitment for a long term career at JPMC
