Job Description

Responsability


Admin Assistant

  • Provide administrative and confidential executive-level support to the General Manager;
  • Perform functions such as preparing correspondence, arranging conference calls, meeting scheduling appointments, organizing and maintaining paper and electronic files;
  • Make travel and meeting arrangements;
  • Setup accommodation and entertainment arrangements for company visitors;
  • Arrange team building, annual party, SWAN activities…
  • Issue the invitation letters for visitors and manage the visa issue for company staffs;
  • Manage the shuttle bus related issues;
  • Help other departments about some overflow work, such as ECO, Test procedure…
  • Purchase some office supplies

HR Assistant

  • Maintain and update employee database (HC file) every month.
  • Keep track of employees’ attendance (holiday and over records, time sheets).
  • Coordinate for new hires’ on boarding and separation process.
  • Keep track of employees training record.
  • Recruitment in link with HR Department for some functions (operator, service technicians…)
  • Centralization of annual performance interview;
  • Centralization of all requests or problems related to Human Resources;
  • Consolidate commercial insurance with employee and commercial insurance company;
  • Coordinate and maintain records, phones and office keys.
  • Employee probation evaluation and employee labor contract renew.
  • Update the organization chart every month.
  • Coordinate with employee welfare (Chinese festival, employee birthday…)

PO assistant

  • Coordinate for the pre-requirement of the lead time and price for the potential PO.
  • Coordinate for the formal PO process (PO review, PO signature…)
  • Make the equipment name plate.


Qualification
  • Requires strong computer and internet research skills
  • Excellent interpersonal skills and the ability to work with all levels of internal management and staff, as well as outside clients
  • Sensitivity to confidential matters
  • Better ability in English writing, translation and speaking


HSE
  • Comply with State, SUEZ HSE regulation, implement SUEZ HSE Standard, life- saving rules.
  • Assist in the safety work of company, and do a good job

  • Known the hazard of the department, and implement the safety duty

  • Implement Emergency Response Plan procedure, report accident in time and assist rescue.

  • Must wear PPE When you come into the workshop

  • Use electricity in safety, prevent the accident, if we find the hazard, we must inform
  • Develop internal and external communication on HSE.
