Job Description

Key Responsibilities:主要工作职责

1. Stationary:

文具管理:

(1) Sending stationary to staff who claims for.

员工文具发放工作

(2) Making records for all the usage of stationary.

对文具的使用情况做好相关记录

2. Courier:

快件管理:

(1) Receiving the couriers of whole company.

公司快件的接收

(2) Sending the courier for the whole company.

公司快件的发送

(3) DHL process:

DHL快件处理

i. Input Key information into system.

在系统中录入关键信息

ii. Offer tracking number to staff.

为员工提供快件追踪单号

(4) Making records for all the couriers.

做好所有快件的记录工作

(5) Check and keep contact with vendor for service problems.

做好与供应商有关服务事宜的检查和联络工作

3. Air ticket:

机票相关工作:

(1) Booking air tickets for the whole company.

机票预定工作

(2) Check and keep contact with vendor for service problems

做好与供应商有关服务事宜的检查和联络工作

(3) Making records for all the air tickets.

做好机票预定记录工作

(4) Negotiate with vendor and update staff profile.

与供应商协商,更新员工信息

(5) Monthly bill reimbursement.

每月的账单报销工作

4. Staff business card:

员工名片事宜:

(1) Collect card information.

收集员工名片相关信息

(2) Negotiate with vendor to complete the design.

与供应商协商完成相关设计

(3) Send the design to staff to confirm the printing procedure.

确认名片设计打印程序

(4) Making records of business card.

做好名片记录工作

(5) Check and keep contact with vendor for service problems.

做好与供应商有关服务事宜的检查和联络工作

5. The maintenance of office environment:

办公环境的维持工作:

(1) Daily office facility and furniture maintenance.

办公设备设施的日常维护

i. Check facility and furniture.

做好设备设施的检查工作

ii. Contact the vendor to fix the problems.

联络供应商解决问题

iii. Applying for the bill reimbursement if needed.

账单报销申请工作

iv. Keep contact with vendor for service problems.

与供应商联络服务事宜

(2) Daily green plants maintenance:

绿色植物的日常养护:

i. Check green plant’s growth and maintain the company image.

做好绿色植物的养护工作,维护公司形象。

ii. Contact vendor to fix the problems.

联络供应商解决问题

iii. Applying for the bill reimbursement.

账单报销申请工作

iv. Keep contact with vendor for service problems.

与供应商联络服务事宜

(3) Daily air-condition maintenance:

空调的日常维护工作

i. Check working system of air-condition.

做好空调的检查工作,确保正常运行

ii. Contact vendor to fix problems.

联络供应商解决相关问题

iii. Applying for the bill reimbursement if needed.

账单报销申请工作

iv. Keep contact with vendor for service problems.

与供应商联络服务事宜

(4) Daily printing room maintenance:

文印室的日常维护:

i. Check printing room environment.

做好文印室的环境维护工作

ii. Always keep printing room clean and tidy.

保持文印室干净整洁

(5) Daily meeting room maintenance:

会议室的日常维护:

i. Check meeting room environment.

做好会议室的环境维护工作

ii. Always keep clean and tidy.

保持会议室干净整洁

iii. Replace the whiteboard marker and eraser in time.

及时更换白板笔和橡皮擦

(6) Daily barreled water, nestle water and water machine maintenance:

做好桶装水、雀巢水和饮水机日常维护工作

i. Check stock of water and purchase in time.

检查水的存量,并及时进行采购

ii. Check water machine and contact vendor to fix problems.

定期对饮水机设备进行检查,并联系供应商进行维修事宜

iii. Keep contact with vendor for service problems.

与供应商联络服务事宜

(7) Daily coffee machine maintenance:

咖啡机的日常维护工作:

i. Check coffee machine and keep clean.

定期对咖啡机进行检查并保持其干净

ii. Add water and ensure the coffee machine in working order.

保证咖啡机正常运行

(8) Daily medicine chest maintenance:

药箱的日常维护工作:

i. Check and maintain the stock.

定期检查药箱,做好其维护工作

ii. Purchase the medicine in time.

及时购买所需药物

6. Other paper work:

日常文书工作:

(1) Update the telephone book once a month.

每月对通讯录进行更新

(2) Help to draft the admin department meeting minutes.

协助行政部门做好会议记录起稿工作

(3) Help to draft the admin monthly report.

协助行政部门做好每月报告起稿工作

(4) Help to fill in the admin monthly payment record.

协助行政部填写每月付款记录

7. File the admin documents:

行政文件的归档整理

(1) Admin contracts.

行政合同

(2) Relative admin documents.

相关行政文件

(3) Notices from Maxdo Center.

8. Optometry announcement if needed.

验光公告

9. Collect the medical insurance sheet of our staff.

收集员工的医疗保险费单

10. Office meeting room and conference call reservation:

会议室及电话会议安排:

(1) Make reservations for staff.

预定会议室

(2) Prepare and set up the meeting room.

准备并安排会议室

(3) Set up conference call.

安排电话会议

12. Other tasks assigned by office manager.

完成办公室经理分配的其他工作


Job Requirements 职位要求

? 学历/资质

Education/Qualification:

大专以上学历,熟悉办公软件如word, ppt, excel等

College or above, familiar with the computer software, word, ppt and excel


? 工作经验

Working Experience:

3-5年或以上相关行政工作经验

At least 3-5 years’ experience in admin field


? 语言要求

Language Requires:

英语听说读写优秀

Excellent oral and written English
