Job Description

What will I be doing?

The Admin Manager is responsible for FSSC administrative operations, including office operations, reception and public relations:

Office Operation

+

Ensure smooth office operations, maximizes quality of work environment while improving cost efficiency

  1. Set budgets, monitor office spending, and reduce cost
  2. Ensure efficient office operations by planning, executing and continuously improving administrative workflows and procedures
  3. Act as the Office 5S Controller to create a comfortable office environment, manage, and maintain daily cleanliness and safety
  4. Manage office contracts and coordinate supplies, covering cleaning service, indoor plant, pantry supplies, courier service, etc.
  5. Oversee facilities services andmaintenance
  6. Assist with preparations and coordination for meetings
  7. House fund control and reimbursement of petty cash expenditures
  8. Protect privacy and security of company’ confidential information and assets
  9. Coach and oversee the performance of admin assistant
  • Support on Team Members engagement according to FSSC Lead’s instruction, foster service culture and build a warm and dynamic working environment

Reception

Oversee visitor management, ensure a welcoming and professional reception to all visitors + Formulate the visitor reception process - identify the visitor types/ purpose of visit, scope of notification (designated host and/or escort Team Member), welcome and farewell procedures etc. + Provide administrative support to receptions (agenda, meeting venues, transportation, accommodation arrangement etc.) + Maintain a visitor log

Communications & Public Relations

  • Ensure consistent delivery of professionalism in both internal and external communications
  1. Prepare and maintain office Communication Etiquette which guides the choice of medium, level of formality, tone and language, timing etc. with writing templates for daily internal and external communications
  2. Ensure professional correspondence and electronic publications consistent to Hilton brand style guide (logo, fonts, typography, color palette etc.)
  3. Coordinate the preparation/ design of FSSC introduction and promotional material
  • Act as the point of contact among FSSC management and owner groups, maintain owner contact list for information flow in a timely and accurate manner
  • Regularly prepare and distribute FSSC newsletters to general managers, owner groups and GCM office
  • Liaise with local government authorities regarding government support, license, etc.
  • Manage FSSC social media platforms
  • Other duties as assigned.

  • Minimum Education: bachelor’s degree in a related field or equivalent experience
  • Minimum 3-5 year of experience in a similar position with an international brand hotel or similar shared service center
  • People-oriented, willing to foster a positive work environment for all team members. Lead by example, able to inspire and motivate team members.
  • Be proactive, analytical, organized with time, task, and resource management skills.
  • Excellent interpersonal communication, coordination, and organization ability
  • A resourceful individual who is creative and able to maintain flexibility.
  • Fluent in written and spoken English.
