Responsibilities include assisting supervisory and non-supervisory employees with various administrative support tasks.
These tasks include, but not limited to:
- General filing and records maintenance,
- Compiling data for reports,
- Scheduling appointments and meetings,
- Environmental maintenance,
- Furniture maintenance,
- Answering / screening telephone calls,
- Preparing / editing presentations,
- Making travel and hotel arrangements,
- Office lease management and relocation of office,
- Coordinate office repairing and maintenance,
- Ordering and controlling of office suppliers and stationery,
- And other general administrative tasks.
Coordinates work within the work unit and with other work units/departments, both internal and possibly external to the company.
May assist in supporting the general administrative work for one or more professional employees other than the direct supervisor.
JOB CONTENT:
Travel Arrangements
?Responsible for ensuring that travel arrangements are made according to Corporate travel policies in a timely and professional manner.
?Arranges and coordinates travel schedules and reservations for all employees and identify travel preferences.
?Develop and schedule itineraries and handle visas application/s when required.
?Must maintain a focus on minimizing corporate expenses and travel costs.
?Generate and update travel reports on a monthly basis.
?Assist in sourcing for quotes related to travel matters,
?Filing on all travel related documents.
?Must be a creative problem solver while maintaining confidentiality.
?Able to work in a high intensity/fast paced environment.
?Able to work well with all levels of personnel
Office Administrative Support
?General filing and records maintenance.
?Coordinate documents for approval.
?Communicate with internal and external parties on matters related to administration / office management activities.
Others
?Perform ISO 9001 related administrative matters.
?Act as a back up for Receptionist, if any. (i.e. during lunch time and when she is on leave).
?Supervise adminsitration assistant / receptionist / tea ladies in performing duties.
?Perform other related duties incidental to the work described above.
QUALIFICATIONS
?Diploma or above
EXPERIENCES
?Minimum 2 years extensive travel and visas arrangement experience is a MUST in a fast paced environment.
?Experience working with executive level employees on travel arrangements.
?Outstanding customer service skills including verbal and written communications
?Exceptional Organizational skills. Must be detail oriented and have 100% accuracy in work. Ability to multitask and prioritize.
?Proven past history of solving problems while under tight deadlines (working under pressure).
?Flexibility – this position requires accepting calls from employees after hours on occasion for immediate changes in travel schedules.
?Ability to work independently as well as coordinate projects with other team members.
?Must understand complex ticketing rules and fares for both international and domestic travels.

?PC Literate in MS Words, Excel
?Excellent written and spoken English and Mandarin, to deal with Chinese speaking associates
