_ Responsible for office reception
_ arrange transportation for both china and oversea staff
_ Search, manage and coordinate various vendors, like copier, plant, storage shelf etc
_ Search for suitable hotel, corporate rate negotiation and renew it every year
_ Book hotels and air tickets for china staffs
_ Arrange local transportation including vehicle, train for oversea colleague
_ Arrange company event
_ Answer in-coming calls
_ Arrange courier, packing, receiving and sending packages
_ Stationery purchase and supply pantry items timely
_ Manage office entrance door card
_ Arrange staff anual physical check
_ Deal with colleagues individual business visa application
_ Invitation letter issue for oversea colleagues to apply for china visa
_ Trace staffs attendance record
_ Update staffs contact list
_ send out notice for china public holiday
Finance Support:
_ Check staffs monthly expense claims to make sure comply with company policy and then arrange reimbursement.
_ Arrange relevant office facility payment through on-line bank
_ Do monthly payment report, follow bank account statement
_ Manage petty-cash, record funds flow out
Marketing admin Support:
_ Actively and initiatively worked on tradeshow, distributor meetings organization with manager, including assist in pre-show preparation, on-site activities and post-show customers data summarizing (from tradeshows and customer event)
_ Translate products brochures, press release and other required articles on time and accurately
_Create the Chinese brochure from source.
_Keep close contact with china press editor for press release distribution in China
_Maintain a record/report of press release published
_Search for corporate giveaway widely and compare quotations to get good quality and low cost ones, arrange distribution in china as required.
_Coordinate with distributors regularly on marketing materials distribution.
