Job Description
Responsibilities:
- Air ticket booking and keep record in monthly base
- Hotel booking for the travellers and maintain hotel list
- Company car arrangement and driver management as well as the relevant consumption; ensure zero accident and no complaint
- Issue the invitation letter for visitors coming to China
- Handling Visa Application for employees
- To print business cards for all staffs
- Ensure the office safe, clean and tidy
- Office utility management including electricity, air-con, etc.
- Office supply management including plants, stationery, paper, coffee, tea, pantry room, other low-cost goods, etc.
- Office facility maintenance including furniture, property, meeting room set up, etc.
- Inventory control
- Ensure the payments regarding office admin and keep all the data record in correct and completed
- Assist Office Manager to set up the admin process and standard
- Maintain the relationship with vendors and keep vendor list updated
- Support Office Manager on company events
- Other adhoc tasks
Receptionist:
- Operate the phone system and update telephone book
- Greet the visitors professionally and Safety Briefing
- Handle all incoming and outgoing mail and courier delivery and keep all in a completed record
- Assist HR in candidates registration for interview
- Monitor and report the unsafe element of entrance situation if any
- Other adhoc tasks
Requirements:
- Good sense and attitude of admin service, preferred with admin background and experience
- Ability to work in a multinational, multi-cultural environment
- Strong execution followed by instruction
- Integrity, detail oriented and self-motivated
- Good communication and interpersonal skill
- Quick learner, time management is preferred
- Fluent in Mandarin and English
- Good PC skills including Excel, Word and PPT
