Position Title: Customer Service Co-Ordinator

Reports to: Asia Sales (GM)

Location: Shenzhen, China

Salary negotiable

Dimensions: Scope: Full-time position. Position: Based at Rakon Shenzhen, Futian, China.


Purpose:
To work as a member of the Rakon China team and Global Sales teams to ensure a high quality experience for Rakon’s customers. This will be achieved by providing timely and accurate co-ordination with both internal and external customers with an emphasis on communication in a professional manner to exceed customer and co-worker expectations.

Accountabilities:

Support On-Going Business & New Business ·

Order preparation and transmitting to factory. ·

Ensure timely communication of order confirmation to customer service and /or customers ·

Communicate priorities and co-ordinate expediting delivery of samples and production orders from Rakon factories · Coordinate strategic customer inventory support programs including: Supplier Managed Inventory (SMI), Release to Forecast (RTF), consignment order, buffer management and EDI orders/change requests. ·

Access customer portals with order update information /confirmations. ·

Coordinate responses for customer Open Order Reports (OOR), including push, pull, confirm, change, etc. · Support RMA activities ·

Support preparation and follow up of quotations. ·

Support preparation and follow up of specification requests. ·

Update Customers Forecast & maintain regular review vs Customers Order. ·

Regular communication with Customers order vs Forecast discrepancies

Support New Design Work ·

Administer sample orders through CRM ·

Administer stock orders through CRM ·

Populate CRM including creating Accounts and Projects ·

Support preparation and follow up of quotations. ·

Other tasks as needed to support servicing the opportunity

Support Rakon China and Global Sales in achieving team goals and Promoting Rakon Values

Customer service level meets or exceeds Rakon’s goals and customers’ expectations (e.g. ensure all phone calls and emails are responded to quickly) ·

Build relationships with key contacts at customers and partners ·

Build relationships with key contacts at the Rakon factories. ·

Build relationships with key contacts throughout the Global Sales team. ·

Ensure relevant CRM information is up to date, including: forecasts, contacts, sample requests, stock requests, and project and account information. ·

Complete other duties as requested from time to time by Asia Sales GM and the Account Manager while meeting or exceeding Rakon’s professional standards, including timeliness and accuracy.

Comply with Rakon’s quality, environmental, health and safety procedures so as to proactively develop a culture of continuous quality improvement, the provision of a healthy and safe workplace and adherence to established policies, procedures and processes.

Person Specification:

Skills and knowledge:

Essential:

Can communicate through a sales process ·

Can handle customer objections ·

Can build business relationships ·

Can prepare sales quotes ·

Order processing ·

Ability to understand and respond to complex multi-level sales situations (such asOEM/ODM/CEM/Distribution layers) · Knowledge of enterprise forecasting and purchasing processes ·

Desirable:

System analyst experience ·

Understanding of the sales process ·

Experience with SAP ERP ·

Experience with CRM Systems ·

Fluent Speaking & Writing in English & Chinese. ·

At least 3 to 4 Experience in Electronic Field as a Customers Service Role. ·

Knowledge of FCP (Frequency Control Products, i.e. Xtal, XO, TCXO & OCXO’s…)


Qualifications required: ·
