Major Activities : ·
- Maintain project specific procedures manuals, project filing systems ·
- Assemble project deliverables and prepare correspondence ·
- Prepare presentations and reports ·
- Prepare expense reports ·
- Keep project data base up to date and file documents on project filing system ·
- Make copies, scans, print-outs, … ·
- Take notes during meetings and distribute Minutes of Meeting ·
- Create and follow up orders in SAP ·
- Compile, review and analyze data
Outcome: Well organized project administration
2. Key Result Areas: Offer logistic and organizational support to project team
Major Activities :
- Schedule meetings, send calendar invitations, organize skype conference calls ·
- Book meeting rooms, order catering for meetings ·
- Arrange site access badges with site security ·
- Order office supplies ·
- Organization of office allocation ·
- Assist team members and visitors with travel arrangements e.g. hotel/flight/transportation ·
- Organize company events and conferences
Outcome: Unburden team members to make sure they can stay focused on the project, which leads to a more efficient preparation and execution of the project.
Level of education & Knowledge:
- Bachelor's degree Management Assistant/Office Assistant
- Relevant experience of 5 years as a Management Assistant/Office Assistant
- Experience working in a project environment
- Strong English written and oral communications skills required
- Strong organizational skills
- Proficiency in Mandarin strongly preferred
- China experience preferred
Technical skills:
