PA & Business Support Manager


  • Personal Assistant to Regional Director, responsible for the calendar, business trip arrangement, meeting coordinating as well as documentation assistance, and other personal matters if necessary.

  • Office and HR Administrator

  • Be familiar with all staff based on each project sites, responsible for administrative coordination, including stationary ordering, letter and courier acceptance and distribution; employee benefits distribution (Staff’s Birthday Gift; Luna New Year, Women’s Day, Children’s Day, Mid Autumn’s Day, etc.)

  • Travel arrangement including air ticket and hotel for PDs and IMS.

  • Insure travel approval procedure; prepare/produce travel requisition form with proper approval to admin department every month.

  • Responsible for orientation of timesheet, expense claim guidelines, travel policy for new staff.

  • Arrange and coordinate on-boarding trip for new staff to project sites.

  • Collect and submit medical insurance claim documents for all staff based on project sites.


  • Accounting Support

  • Collect expense claim submissions and conduct approval procedures, make necessary communication between approvers and claimants.

  • Tax invoice delivery, registration, and necessary communication with client.

  • Arrange and track the payment to vendor and contractor.

  • Prepare and translate necessary supporting documents for oversea payment.

  • Provide guidance and training to staff and project managers for the timesheet system, and help to solve some urgency.


  • BD Support & Contract Administrator

  • Help with some proposal and bid materials collection / formatting / signing and chopping process, especially for IMS.

  • Manage contract, PO, NDA etc. properly, coordinate the review process with in-house lawyer, processing and filing especially for IMS.


  • IT Support

  • Coordinate local IT team to solve the problem for colleagues.

  • Arrange user account, email address for new staff.

  • Smooth the procedure for staff to apply for software licenses and replace laptop.


  • Organize special events including annual dinner (corporate with Admin Dept) , festival celebration and other function.

  • Organize packing / moving of F+G public documentation and the staff out of office.
