Job Description
- Receptionist:
Manage the main switchboard, screens/answers all incoming phone calls, answers questions professionally, provides information as required and passes phone calls to required extensions providing the person with proper information
Greet visitors and direct them to appropriate staff
Manage the office facilities, such as fax machine, photocopier, scanner
Liaise with express companies, office building management etc.
Assist the Office Manager in the Head Office in administrative and operational matters at the local level
Manage inventory of office supplies / ensures sufficient stock
Update office Calendar at national and BJ local level
Manage the booking of meeting rooms in BJ chapter
Make travel arrangement
Manage name cards printing
Assist in basic translation
Attendance Management
Assist other departments’ work upon requests
Other Office Administrative related issues
- General Manager Assistant:
Support General Manager’s daily work, including calendar, contacts, travel, reimbursement and paper work, etc.
Assist the General Manager, Office Manager and HR Manager to manage the staff engagement activities, i.e. Friday happy hour, monthly team lunch/dinner, team building,staff club, family day party, etc.
Assist GM to manage the Beijing Chapter annual work plan and track the progress of thework tasks among all the departments/functions
Desired skills & experience
University degree
Minimal 2 years experience of administrative tasks, the experience as the executive assistant is a plus
Native mandarin with excellent command of spoken and written English
Organizational, communication, social and presentation skills
Attention to details
Computer literacy, including Outlook, Word, Excel and Internet Explore
Flexible and proactive attitude.
