JD of Maxion SHA Office Administration Manager
Purpose:
We are looking for an Administration Manager (Office Manager) to join our team in Shanghai to be responsible for the offices administrative, support management and visa process for foreign management teams, experts and colleagues. Secretarial support to the Shanghai office leader, generally to help our business and daily working operation smoothly and efficiently.
Main responsibilities include:
Managing SHA office facilities, Furniture and furnishings, equipment, stationery catering / refreshments suppliers and phone systems at a high standard;
Development and implementation of office procedures; Manage admin budget to ensure all admin activities in line with budget;
Manage all external agencies, like travel, delivery, stationary vendors… to ensure the service quality and also the daily operation more efficiently;
Proactively find opportunity to optimize the cost efficiency and also the service quality agency management;
Managing staff insurances, office insurances, Professional indemnity insurance and coordinate with Central secretariat;
Supervision of the Receptionist; Support to manage internal communication activities, i.e annual leave records, team building activities and others;
Leading and managing the necessary communication with global administration function. Especially maintain the close communication with global LT member’s secretaries. Supporting on each LT meeting make sure all are prepared well in advance;
Coordination of IT support with the corporate IT manager to ensure office’s IT and telephone system requirements are met and IT problems/ issues are resolved in a timely manner;
Coordination of administration work with office landlord and make sure everything smoothly;
Supporting the office staff on business travel arrangement, such as car reservation, air ticket and hotel reservation etc.
Assistance in dealing with BD activities and other sales/ marketing support as required;
Assistance and work with financial/ accounting, purchase and other functions as/when required;
Other tasks assigned by line director or company;
The ideal candidate will:
Have a bachelor’s degree, preferably in business administration or management; with more than 5 years of working experiences at least in similar position;
Be proficient in both verbal and written English; have excellent practical knowledge of MS office applications including Word, Excel, PowerPoint and Outlook;
Have analytical and strategic problem solving capabilities; have good communication skill, enthusiastic and focused;
Have strong interpersonal skills with a ‘Can-do’ attitude and be a positive team player;
Be organized and methodical, able to priorities tasks and work to deadlines;
