Position Description
This position is to perform general duties in office administration such as purchasing, office renovation maintenance, coordinating of general office services, personnel and accounting functions. Assist the Operation Director and Admin Manager in day-to-day office operation. Work requires initiative and judgment, within standard procedures and a through knowledge of company policies and procedures dealing with the area of responsibility.
Key Responsibilities
- Ensure office safety and security. Assess possible risks and recommend remedy actions;
- Proper housekeeping. Coordinate office renovation maintenance. Liaison with property management;
- Assistance on office supplies procurement such as furniture, stationary and leasing agreement renewal;
- Administer the organization of office systems;
- Maintain and update company assets records. Ensure all assets are properly labeled and numbered with the Barco silver label. Manage maintenance of the office facilities;
- Prompt renewal of business license. Prepare all necessary documents for application; Submit to the relevant bureau and follow up until renewal is completed.
- Supervise travel arrangement. Maintain and update hotel database. Negotiate corporate rate and enforce the travel policies. Coordinate and follow up applications of work visas, travel visas, invitation, etc.
- Coordinate and organize employee club activities;
- Administration expense review, allocation and application;
- Support HR operation related business;
- Other tasks assigned by Admin Manager.
Essential Requirements
Education
- Bachelor degree in Business Administration or related;
- Proficiency skills in both written and spoken English and Mandarin.
Experience
- At least 3-5 years experience in office Administration management
- Competent with computers and IT
Personality
- Outgoing, presentable and have good communication skills
- Creative, good team player
- Capable of bottom-line responsibility
