Job Description

Key Results/ Accountabilities expected from role:

Contract Validation 1. Support in validating and reviewing contracts in line with BP Procurement guidelines and policies. 2. Provide feedback to Procurement of any potential contractual or commercial risks. 3. Support in contract drafting, compilation, and ensure relevant appendices or exhibits are appended. 4. Ensure contracts are signed and approved by BP’s authorized personnel in line with the company’s Limits of Authority and Power of Attorney policies. Contract Enablement 1. To create and amend contract headers, contract workspace and contract compliance in ARIBA. 2. Facilitate signature process for contracts, amendments and variations. 3. Ensure storage and documentation of contract related documents in ARIBA. 4. Support in facilitating transactional systems in accordance with the buying channel nominated. 5. Operationalise contract within the appropriate systems. 6. Ensure the appropriate changes or notices being affected are made within the appropriate systems. 7. Ensure completes of P2P data before handing off for purchasing operations. Contract Administration 1. Manage amendments, notifications, change order, variation orders and terminations in a timely manner. 2. Update the appropriate systems due to any change or amendments and communicate with the impacted stakeholders. Contract Close Out and Exit 1. Ensure contracts are properly closed out and terminated in ARIBA. 2. Archive documents to ensure legal compliance. 3. Close transactional systems in accordance to contract requirements. 4. Analyse and share lessons learnt where required. Communication 1. Interface with various internal stakeholders and third party including BPO, Supplier Management and Master Data Management team. 2. Participate in supplier performance reviews and discussions where needed. Other 1. Support in contractual negotiations (if any). 2. Supports the objective of no compromise on safe and compliant operations, including OMS related standards. 3. Identify opportunities and drive continuous improvements within the service line. 4. Support in reviewing general terms and conditions and provide feedback to Procurement of any potential contractual or commercial risks

4. Key challenges faced on the role (In relation to section 3 above) GBS Asia is currently developing a stronger Contract Enablement service line which will be the touch point between sourcing and P2P. This service line model coupled with its new scope would likely face challenges and resistance from various stakeholders. In addition, ARIBA technology will be deployed across all business segments resulting in the phase out of various legacy systems. The key challenges of this role include: 1. Standing up the service line whilst delivering quantifiable value. 2. High sense of urgency to capture realised benefits. 3. Active communication and engagement with all internal stakeholders to establish contract management practices and requirements. 4. Managing stakeholders and interfacing with teams in diverse geographical locations. 5. Understanding the complexity of the systems. 5. Experience & Expertise (Typical educational qualification& experience) Educational background : University degree in a technical, legal or related equivalent business discipline. MCIPS/ISM qualification, or at stage of pre-qualification, desirable. Experience (years and nature) At least 5 years’ working experience in procurement and supply chain Well versed in Chinese and English contracts. Experience of Source-to-Pay processes and systems. Experience in ARIBA or other e-procurement tools and deployments of similar scope and scale is an added advantage. Extensive knowledge and application experience with contract terms and conditions. Knowledge of procurement – contract drafting and negotiations, contract review and daily management. Experienced working with virtual teams. c. Other Excellent verbal and written English communication skills Ability to listen and work with Business and Category/Sourcing teams in real-time Excellent problem-solving skills. Intermediate Influencing and stakeholder management skills. Intermediate Organisational and strong project management skills. Role may require occasional hours outside of standard business hours – to join calls with overseas team members Contractually and commercially risk adverse Ability to work cross culturally Understand inter relationships between applications and business processes An ability to operate methodically including process adherence Skilled in using basic MS Office applications
