Job Description
Job responsibilities:
1. Reception area
- Answer incoming calls and redirect them accordingly
- Receive visitors
- Maintain customer visit calendar and prepare meeting rooms accordingly
- Receive, sort and distribute letters and parcels
2. Office maintenance
- Monitor office supplies and place orders when necessary
- Maintains a neat, clean office and reception area
- Arrange repairs when necessary
- Supervise the on-site Ayi in charge of cleaning
3. Administrative assistance
- Reservation of train and plane tickets
- Handle the insurance claims handed by employees
- Apply visas for foreigners
- Maintain the recruiting website and screen for candidates when requested
- Arrange interview and entry procedures of new recruits as well as exist procedures
- Keep updated records and files
- Take up other duties as assigned
Requirements:
- One year experience in the same or related fields is preferable
- Proficient in English (oral and written)
- Professional appearance and manner
- Positive and helpful attitude
- Good organizational and multi-tasking skills
- Knowledge of office management
- Competency in Microsoft Office including Word, Excel and Outlook
- College degree or above; qualification in secretarial, administrative and related fields will be a plus
