Job Description

Job responsibilities:

1. Reception area


  • Answer incoming calls and redirect them accordingly


  • Receive visitors

  • Maintain customer visit calendar and prepare meeting rooms accordingly

  • Receive, sort and distribute letters and parcels


2. Office maintenance


  • Monitor office supplies and place orders when necessary


  • Maintains a neat, clean office and reception area


  • Arrange repairs when necessary


  • Supervise the on-site Ayi in charge of cleaning


3. Administrative assistance


  • Reservation of train and plane tickets


  • Handle the insurance claims handed by employees


  • Apply visas for foreigners


  • Maintain the recruiting website and screen for candidates when requested


  • Arrange interview and entry procedures of new recruits as well as exist procedures


  • Keep updated records and files


  • Take up other duties as assigned


Requirements:

  • One year experience in the same or related fields is preferable


  • Proficient in English (oral and written)


  • Professional appearance and manner


  • Positive and helpful attitude


  • Good organizational and multi-tasking skills


  • Knowledge of office management


  • Competency in Microsoft Office including Word, Excel and Outlook


  • College degree or above; qualification in secretarial, administrative and related fields will be a plus
