POSITION PROFILE: (Basic Purpose of Position)
Through and in depth knowledge of the entire management processes and systems, as well as a very good understanding of customers and markets, supports the business for a defined portfolio of customers. The CS officer is responsible for all order management activities, including quotes, order entry, order management, inventory management and invoicing, with the goal to help generate orders and revenues, based on current policies, procedures and guidelines. The CS officer will work closely with Accounts Managers, purchasing and Logistic Centers to communicate and deliver information. The CS officer will work with other departments, like Finance, Marketing, in order to provide high quality services to customers.
MAJOR JOB DUTIES AND RESPONSIBILITIES (List in order of importance)
- Reply customer’s inquiries on product information, prices, availability and order status etc and take orders via phone calls, emails, faxes and sales team.
- Be responsible for services to designated accounts and account managers, and provide them with services in a timely, careful, responsible and proactive manner.
- Communicate cross functional teams to facilitate the order fulfilment process and ensure customers’ claims, inquiries and special requirement are addressed and handled properly and timely
- Check the material validity and price effectiveness in SAP
- Generate quotes upon Accounts Managers’ or customers’ requests in SAP
- Enter valid orders to initiate product shipment
- Working with supply chain to make sure goods arrival to meet customer’s required delivery date
- Contact with customer to make sure the valid certificates for chemical goods or DGs
- Manage orders to ensure complete and on time delivery
- Create on time invoices upon delivery or completion of installation
- Manage returned and defective products to Logistic Centers and provide credits to customers
- Contribute to continuous quality improvements to ensure business compliance
- Take ownership of customers’ issues and resolutions
- Ensures highest level of customer satisfaction (internal and external)
QUALIFICATIONS (Education/Training, Experience and Certifications)
Bachelor Degree, with 2 -3 years of customer service relevant experience will be a plus
- International trade / logistics major or related experiences will be a plus
KNOWLEDGE SKILLS AND ABILITIES (Those necessary to perform the job competently)
- Good interpersonal and communication skills
- Ability to work successfully in a team environment
- Good customer service, analytical and problem solving skills
- Knowledge of SAP and Microsoft Office applications
- Self motivated and demonstrates initiative and result oriented
- Must be able to communicate in Mandarin & English (Verbal and Written)
ENVIRONMENTAL WORKING CONDITIONS & PHYSICAL EFFORT (Under Typical Positions)
Typically works in an office environment with adequate lighting and ventilation and a normal range of temperature and noise level.
Work assignments are diversified. Examples of past precedent are used to resolve work problems. New alternatives may be developed to resolve problems.
A frequent volume of work and deadlines impose strain on routine basis.
Minimal physical effort is required. Work is mostly sedentary but does require walking, standing, bending, reaching, lifting or carrying objects that typically weigh less than 10 lbs.
